The Accounts Payable Specialist is a non-exempt, full-time Staff position reporting to the Accounts Payable Manager within the Office of Financial Services. The position may work some evening and weekend work hours.
The Accounts Payable Specialist assists the AP manager in administering the Purchase Card Program and other AP activities. This position is responsible for reconciles P-Card purchases to individual statements, including verify supporting documentation, accuracy of paperwork, and verifying signature approvals. The incumbent prepares and enters monthly journal entry for P-card charges and corrections; matches airfare support/approval and reconcile to Ghost Card statement; contacts traveler for missing airfare support/approval. In addition, this position prepares monthly journal entries for airfare charges; reconciles cash advance expense reports, including verifying supporting documentation, accuracy of paperwork, and signature approvals; inputs cash advance reconciliations into AP system.; runs daily checks, including Express checks and Student Refunds; processes check requests, expense reports, handwrite requests and student refunds. The Specialist organizes and audits invoices for processing. Input data into accounting system and submit for final review/approvals, monitors outstanding items, and researches documents and follow-up to clear or adjust activities. This role maintains accurate files on invoices and documentations and ensures compliance with fiscal policies, and work with various constituents to correct documentation as needed.
This position provides accounting, customer and administrative support for the department by conferring with faculty, staff, students or external contacts to provide information and/or resolve concerns relating to AP transactions, conduct regular P-Card training, to new and existing cardholders and performs special projects as requested by the Accounts Payable Manager or Associate Controller to include, running queries and compiling information for reporting or audit requests, participate in the Accounts Payable closing cycles and serving as lead accounting assistant in the absence of a manager. This position performs other duties as assigned.

Specific Job Requirements: Bachelor's degree in finance or accounting or related field and/or an equivalent combination of education and experience. A minimum of three (3) years Accounts Payable processing experience. Experience establishing and maintaining accounts payable files. Experience dealing with detail, volume, repetitive daily input and time constraints. Written and oral communication skills for strong customer service support. Understanding of relevant rules and regulations governing account payable practices. Strong organizational skills to prioritize duties when faced with interruptions, distractions, and a fluctuating workload. Proven ability to carry out duties in a timely manner. Experience working under general supervision and making routine to fairly complex decisions based on sound judgment. Strong computer skills in the use of word processing, spreadsheet, email and internet applications, preferably of Microsoft Office Suite software. Interpersonal skills with the ability to interact with a diverse group of individuals at all organizational levels, both inside and outside the University.
