The Administrative Assistant III provides administrative support and customer service to the pharmacy department. Functioning with the discretion and appropriate judgement the incumbent contributes to the efficiency of the department and enhances the operations processes. The incumbent creates various materials including technical, statistical or numerical charts, exhibits, and reports. Performs related duties as required.
Prepares departmental payroll, maintains the attendance and benefit accrual records and responds to inquiries from departmental personnel and payroll department.
Processes physician profile forms into EnterpriseRx.
Monitors, collects data, analyzes data and prepares reports.
Assists with storeroom activities; the maintenance of prescription records, including inventory, purchasing, and issues through the Cook County Health & Hospitals System (CCHHS) financial system.
Dates, stamps, tracks, sorts, counts, scans, files and/or receives prescriptions, Medicaid remittance, charge forms, insurance payments and etc.
Manage email; receives and responds using email with attachments.
Answers phone, directs calls, and take messages accordingly.
Screens visitors and directors them to the appropriate person or division.
Prepares and drafts memos, reports, correspondence, policies, minutes and etc.
Maintains policy and procedural records on-line and in binders, and pharmacy reference books.
Assists with preparation of disciplinary action forms.
Prepares monthly statistic reports and expenditure reports.
Maintains inventory control of office supplies and reorders as necessary.
Receives, sorts, and distributes incoming mail.
Maintains office files, departmental files, correspondence book, prescriptions, etc.
Generates reports through pharmacy software system, including patient profiles, stop order reports, electronic medical error reporting system (eMERS), etc.
Maintains proper storage of methadone records, prescription records, controlled substance disposition records, purchasing records and all logs.
Updates and transmits required CCHHS reports, including continuous quality improvement (CQI), influenza, staffing and etc.
Transmits controlled substance report to the state through the CCHHS software system (Prescription Monitoring Program).
Performs other duties as assigned.
High School Diploma or GED is required (must provide proof at time of interview)
Three (3) years of prior experience providing administrative support to a department or member of management is required
One (1) year of experience with one or more of the following activities: scheduling events with multiple participants, timekeeping, updating records and reports, experience responding to basic email communications is required
Intermediate experience in Microsoft Office applications including Excel, Word, PowerPoint and Outlook is required. (May be required to pass a proficiency test.)
