Under general supervision, the Health Sciences Dean's Office Admin Specialist provides high-level support and advice to the Assistant Vice Chancellor (AVC) Health Sciences area and other Health Sciences management. The Health Sciences is a $1 billion operation and this support and advice touches on all areas including relations with senior management, faculty, community members, university personnel at all levels, and government officials. Provide high-level professional administrative support, which requires tact, diplomacy, and discretion on a wide variety of complex and sensitive issues.
Provide analysis for complex problem research and make recommendations for developing internal control processes and practices. The position serves as a key resource providing data analysis and management as requested. Perform as a VC wide liaison between HS departments, Medical Center offices, and central campus departments. Maintains sensitive and confidential information in electronic and paper form, and must have the ability to extract, analyze, interpret, and display the data as required.
Serve as AVC Health Sciences and other Health Sciences management's confidential representative and liaison with senior enterprise management, faculty, campus and system wide administration officials and general public. Ensure that the AVC is briefed for meetings with a wide range of individuals and groups. Resolve problems without direct involvement with AVC; independently write letters and other documents for AVC. Coordinate recruitment and searches for senior management and faculty. Serve on campus committees as the Vice Chancellor Health Sciences representative; act in the best interest of VCHS.
Provide top-level support to Health Sciences Faculty Council (HSFC), the HSFC Nominating Committee, Health Sciences Research Council, etc. This position provides continuous, long-term support to several senior level faculty committees with rotating leadership. As such, provides appropriate, diplomatic direction to incoming leaders, while maintaining the flexibility to permit each change in leadership to achieve their goals.
Demonstrated knowledge and experience in academic and business administration with strong organization management skills.
Strong, proven experience and proven ability to function as a high-level confidential administrative specialist and speak on behalf of/represent the senior management in a highly professional manner.
Experience providing cost-analysis for staff-related issues, financial impact analysis, policy analysis, and reviewing budgets using advanced Microsoft Excel skills that include pivot charts, graphs, etc.
Possess substantial knowledge of the programs and philosophy of Health Sciences; understanding and supporting the education, research and outreach missions of the Vice Chancellor's Office is essential.
Excellent organizational skills in order to prioritize multiple tasks, develop, analyze and/or revise procedures, meet deadlines, and work in an environment of heavy pressures and changing priorities.
Strong oral and written communication skills and the ability to compose correspondence and reports. Excellent interpersonal skills with strong, ability to communicate orally and in writing.
Demonstrated experience with computerized systems, database management and spreadsheet and word-processing programs to manipulate data and create reports.
Proven ability to resolve conflicts with creativity and authority while maintaining a professional relationship. Ability to use independent judgment and initiative to accomplish tasks.
