The Nutrition and Global Health Program in the Department of Global Health and Population, Harvard T.H. Chan School of Public Health, is seeking a highly motivated, detail oriented, and responsible Program Assistant to join their team. The program is conducting several global health research and training projects with partners in resource-limited settings in sub-Saharan Africa and Asia. Reporting to the Assistant Director for the program, the Program Assistant will be supporting a wide range of activities within the program. Responsibilities will vary depending on the demands of the projects, and will be determined in close consultation with the program managers.
Responsibilities may include but are not limited to:
- Assist in developing Program materials and systems for Trainee recruitment, trainings, and payments. - Provide support in arranging Trainee travel, Trainee and Program alumnae visas, Harvard Trainee appointments, and payments to field sites - Coordinate trainee insurance coverage, reimbursements, payroll and Human Resources organization, consortium activities and meetings, and will aid in training program development, program monitoring and evaluation activities. - Assist with the procurement of services, supplies and equipment, according to University Purchasing policies and guidelines and in collaboration with GHP Accounts Payable team - Track, review and auditing of invoices submitted for payment - Oversee audio and visual needs, computer capability, technical support and international conference calls - Maintain the website - Attend events to facilitate and assist with the logistics, smooth execution and completion , as well as scheduling and leading program seminars - Direct, long-range, strategic planning for events/meetings including deadlines, venue options, meeting agenda, suppliers, caters, event communications, registration, presenters and handouts to meet goals and objectives of the conference - Collect progress reports from Trainees, Mentors and sub-contractees and assist with preparation of progress reports to be submitted to the sponsor - Maintain program's records (such as financial, personnel, administrative, trainees); Reviews complex documents, reports, etc., to assure compliance with University requirements and/or government regulations and notifies supervisor of unusual situations. - Comply with all applicable policies and procedures and relevant federal regulations while meeting the objectives of Harvard prime awards - Lead the coordination of regulatory submission: submit applications for new protocols, modifications to existing protocols, and continuing reviews to the Harvard IRB - Communicate program guidelines to project sites via handbooks, webpage, and other materials - Maintain IRB documentation in accordance with institutional guidelines - Maintain electronic records for biospecimen repository contents - Coordinate retrieval, delivery, and return of biospecimens for testing - Independently manage workflow to achieve and maintain performance standards - Draft, edit and prepare correspondence, reports and other material using word processing, spreadsheets and/or databases - Assist international colleagues with local ethics committee applications as needed - Other duties as required

- 3+ years of related work experience required; a combination of education and experience mat be considered.
- Bachelor's Degree is strongly preferred. - Relevant work experience in similar academic or global health programs setting is desired. - Proficiency in Microsoft Windows, Outlook, Word, Excel, Project, Access; Adobe Acrobat; and web
Must have excellent organizational and interpersonal skills, as well as ability to set priorities among competing tasks and deadlines; to work independently with minimum supervision and take initiative; to work accurately with attention to detail in a fast-paced environment; and to handle confidential information with discretion. Excellent verbal and written communication skills, cultural sensitivity, and a strong commitment to customer service are necessary.
