The Financial and Administrative Associate supports the mission and activities of the Vietnam and Myanmar Programs within the Ash Center for Democratic Governance and Innovation. Reporting to the Ash Center Assistant Director of Budget and Research Administration, the Financial and Administrative Associate works directly with the Senior Advisor for Mainland Southeast Asia and is a key member of the Vietnam and Myanmar Programs team.
S/he is responsible for the coordination of the administrative and financial operations of the Programs on a daily basis. This includes reviewing financial data for a wide portfolio of program funds daily; processing vouchers, travel reimbursements, and project expense reports; assisting with pre- and post-award management of sponsored research portfolio including preparing budgets, proposals, and complex financial reports; financial forecasting and projections; working with the Ash Center Assistant Director of Budget and Research Administration on sponsored research and Harvard requirements, and on financial and programmatic reporting to sponsors; and coordinating with various internal departments on financial, grant processing, student and fellowship appointments, compliance, and other administrative matters.
The Financial and Administrative Associate provides logistical support for research- and policy-related meetings, conferences, and other activities in the US and abroad. Responsibilities include coordinating schedules, booking travel, and communicating with guests, fellows, collaborators, and partners in the US, Vietnam, Myanmar and elsewhere. The position also maintains office systems, procedures, and overall operations and assists with other duties as assigned.
This is a benefits eligible term appointment for one year from date of hire, with the possibility of renewal.

Associates degree and at least two years of related work experience.
B.A./B.S. strongly preferred. Prior experience working with sponsored funds. Demonstrated intermediate level proficiency with Microsoft Word and Microsoft Excel required. Finalists may be asked to complete Microsoft Word and Excel proficiency tests. Experience with Harvard's financial administration software and procedures highly desirable and familiarity with regulations governing federally funded activities a distinct advantage. Thoroughness, accuracy, and agility with financial data is a prerequisite. Ability to meet frequent deadlines and to balance multiple priorities. Excellent organizational, communication, and interpersonal skills. Ability to work independently and as part of a team. Flexibility in schedule needed.
