Rutgers, The State University of New Jersey is seeking an Administrative Assistant for the Military/Veterans Support & Services Call Center at Rutgers, University Behavioral Health Care. Reports to the Supervising Program Assistant I.
Performs a wide variety of administrative and support services within the Military/Veterans Support/Services program. Assists in the planning and support of program activities and coordinates office operations.
Executes assignments and tasks requiring data collection, information gathering, analysis, data entry/retrieval, database maintenance, and forms and graphics generation utilizing a variety of software packages.
Provides assistance to Secretary II & III positions under the direction of the Supervising Program Assistant I.
Screens calls and provides information in accordance with organizational policy and maintains essential records and filing system.
Prepares and/or compiles data for special reports and analyses, monthly reports, program evaluations, and other related reports within prescribed guidelines.
Undertakes routine writing and editing assignments; generates correspondence for signature; prepares meeting agendas and minutes; maintains mailing lists.
Maintains or assists in maintaining department accounts, monitoring expenditures and ensuring compliance with budgets.
Serves as liaison between the department and other administrative units such as Purchasing, Accounts Payable, Human Resources and Information Services and Technology.
Completes appropriate internal paperwork required by Unit, UBHC, and University and coordinates and maintains the department calendar.
Maintains office supplies and equipment necessary for the efficient functioning of the Unit.
Minimum Education and Experience:
Requires an Associate's degree plus two years of administrative/secretarial experience.
Equivalent education, experience and/or training may be substituted for the degree requirement.
Required Knowledge, Skills, and Abilities:
Must have knowledge of Microsoft Office (Word, Excel, and PowerPoint).
Demonstrated excellent customer service and organizational skills.
Call Center experience.
Physical Demands and Work Environment:
The position requires standing under 1/3 of the time, walking under 1/3 of the time, and sitting up to 2/3 of the time.
The work environment is an office with moderate noise (examples: business office with computers and printers, talking).
