Provide financial support to faculty in the Chemistry department. Maintain complex, detailed and comprehensive budget accounts and records for accounts within Chemistry and affiliated Centers/Institutes. Supports five to ten faculty members, serving as the primary financial administrator for those faculty and their affiliated students and staff.
Provide customer service to faculty members by providing analytical information regarding budgets and finances. Respond to questions from faculty regarding status of accounts and assure errors are corrected. Call attention to over-expenditures and help to resolve. Answer questions regarding University policy and procedure.
Assist in computation and preparation of budgets assuring budgets comply with University policies and procedures. Develop and maintain spreadsheets for analysis of budget data. Review and reconcile monthly budget statements. Work closely with other University accounting and budgeting departments such as OSR and Cost Accounting.
Track and manage accounts by verifying fiscal transactions and approving purchase requisitions. Generate accounting corrections, journals, adjustments for entries or recommend other solutions as appropriate. Review account balances, confirm charges have posted to appropriate accounts, and ensure proper documentation exists for each transaction. Balance accounts at close of project periods/fiscal year.
Oversee payroll operations with limited direction, including the completion and submission of payroll forms, assuring compliance with university and federal government policies. Complete and submit payroll related documents for monthly, biweekly and work-study employees. Provide guidance to faculty related to hiring and payroll matters. Answer inquiries from staff and students regarding payroll.
Serve as resource to other staff in the Business Office, as well as throughout the department, answering questions regarding the NU Financials system and policies and procedures. Serve as a back-up to other staff during absences.
Perform other related duties as required or assigned.
High School Diploma.
3 years accounting and/or bookkeeping experience or the equivalent combination of education & experience.
Working knowledge of accounting principles, methods and techniques.
Demonstrated ability to control and monitor a variety of accounts and budgets.
Ability to multi-task.
Excellent computer skills, including advanced skills in Excel and Word.
Excellent communication skills, with the ability to handle interpersonal communication and sensitive information with tact, courtesy and discretion.
Strong analytical and problem-solving skills, including the ability to independently identify and resolve possible issues.
High degree of initiative.
Previous experience in a fast-paced science environment highly preferred.
Previous experience using PeopleSoft financial system.
