Advertised Summary Job Description: The Department of Environmental Health Sciences (EHS) has an immediate opening for an Assistant Director of Administration. This position will report to the Department Administrator and will perform various diverse and complex sponsored research administration responsibilities for EHS. He/she will work with multiple sources of funding including federal restricted funds, non-federal restricted grants and contracts, and unrestricted funds.
The incumbent will manage, process and assist on financial accounting, budgeting, monitoring and reporting of EHS sponsored research grants. He/she will ensure accurate and timely submission of grant proposals in accordance with Columbia University, Mailman School of Public Health (MSPH), and sponsor guidelines. Assist the Department Administrator in business process enhancement initiatives and supervise the administrative team.
The primary responsibilities of the Assistant Director of Administration will include: - Supervise and assist the EHS administrative team with pre and post award portfolio. - Serves as principal source of information on complex University and sponsored fiscal policies and procedures. Interprets guidelines and polices, and advises faculty, staff and/or students on existing options or alternatives and effectively recommending courses of action. - Collaborate with and assist faculty in some/all phases of proposal development and submission and ensure that proposals comply with sponsor and University guidelines. - Manage a diverse portfolio of sponsored research awards. Prepare complex grant reports on an ad hoc basis. Provide monthly/quarterly monitoring and analyses of grants and contracts for Principal Investigator to ensure expenses are paid according to contract and government regulations within budget limit and timelines, notify PI and supervisor about any funding shortfalls and develop a plan for contingencies - Reconcile and process EHS financial transactions (invoices, purchase orders, reimbursements, P-Card) in compliance with CUMC/ MSPH's financial policies and procedures and EHS sponsor and donor specifications. Ensure payments are made based on proper authorization, supported by sufficient documentation and allocated to the appropriate EHS funds and/or projects. - Process necessary journal entries as required to ensure accurate accounting. - Assist the Department Administrator in planning and implementing departmental best practices and business process enhancement initiatives. - Perform other related duties as assigned.
General Minimum Qualifications: Bachelor's degree in accounting, finance, business or related field required plus four years of relevant work experience in pre- and post-award management experience (both federal and non-federal).
Additional Specific Minimum Qualifications: Must be self-directed and able to prioritize duties and meet multiple deadlines. Must be able to use a high degree of judgment and make sound independent decisions. Strong written and oral communication skills are essential. Needs to be able to work independently with minimal supervision, and handle complex and confidential information with discretion. Proven ability to handle sensitive and confidential information appropriately, to manage multiple tasks simultaneously, and to achieve results in a timely and accurate manner. Excellent interpersonal and customer service skills required. Comfortable with deadline pressure and able to respond to shifting priorities.
Preferred Qualifications: Master's degree in accounting, finance or business. Knowledge of federal and non-federal sponsor regulations and strong federal grant management.
