The American Trucking Associations (ATA), the nation’s leading trade and lobby association representing the trucking industry, is actively seeking an energetic and creative Coordinator, Legislative Affairs. This position will provide administrative support to the Senior Vice President of Legislative Affairs and other management staff.
The incumbent in this role will have primary responsibility for scheduling, coordination of events, and meetings for ATA and outside entities hosted at the Capitol Hill Complex (main office building, townhouse and rooftop space). Works directly with Director, Political Affairs on ATA hosted political events and day to day political operations. This role will supervise the Special Projects Administrator and has no budgetary responsibilities.
Coordinates and schedules events for ATA’s Capitol Hill Office complex and assists with coordination for the State Associations’ use of those facilities; plans events with outside groups using Capitol Hill Office facilities. Supervises caterers and coordinates menus and décor accordingly for all ATA hosted events.
Schedules meetings with Members of Congress, their staffs, and outside organizations, including other associations and private sector companies; coordinates attendance of hearings significant to ATA, to include arranging transportation and hotel accommodations for witnesses that may testify on behalf of ATA.
Coordinates department workflow planning and prioritization: reviews and processes all invoices for payment. Responsible for ordering of office supplies and submitting maintenance request.
Drafts contracts for space rentals as needed: Onsite point of contact for building manger.
Assists the Senior Vice President with the yearly budget planning and tracks expenditures: Manages the calendar for the Senior Vice President.
Works directly with Director, Political Affairs on ATA hosted political events as well as day to day work flow of PAC and Grassroots areas.
Knowledge and Skills:
BA/BS with a minimum of 3 years administrative experience in an association and/or in event planning is preferred;
In lieu of degree, a minimum of 5 years similar work experience is required;
Must have proficiency in MS Office products;
Ability to handle multiple priorities and meet deadlines;
Excellent verbal and written communication skills required;
