Plans, organizes, and manages the day-to-day operations of the main office for the MSON – Aquinas, under the administrative direction of the Program Chairperson and/or MSON Associate Dean, and serves as a resource and referral source for the internal and external community.
Essential Duties and Responsibilities:
(1) Identify and secure new clinical sites each semester by communicating goals/mission of the University and the clinical experience. Prepare MOU or AA contract for client’s signature and follow-up on expired contracts. Maintain consistent communication with existing clinical sites via e-mail, telephone, or written correspondence, and respond to their concerns. Coordinate submission of required student forms to the appropriate clinical site or government agency. Maintain file with all clinical site and contract data. Support faculty by relating all pertinent site data, communicating their requirements to the clinical site coordinators, and follow-up on outstanding issues to ensure a successful clinical experience for the students and faculty. Maintain excel file with all clinical sites, contact information and contract data. (2) Coordinate internal and external communications for the UDM/Aquinas/Saint Mary’s Health Care Pre-licensure and BSN completion programs in Grand Rapids and Muskegon by utilizing technical and professional knowledge to obtain, organize and compile information and distribute it via Internet, printed material, and verbal communication. Maintaining student records for compliance with clinical requirements including medical forms, vaccinations, CPR, yearly TB tests and HIPAA. Responsible for maintaining faculty records such as CPR and yearly TB tests. (3) Administrative duties such as front desk reception, answering the phone and filing. Compose and distribute business correspondence, reports, and related materials. Produce and/or edit documents for the Chair, faculty and students such as course syllabi, exams, manuscripts, confidential documents and proposals. (4) Assist in student recruitment efforts in Grand Rapids and Muskegon by providing program information and requirements to potential students for BSN completion and the UDM/Aquinas/Saint Mary’s Health Care Pre-licensure programs. (5) Coordinate communication of schedules between all faculty, students and department chair, ensuring faculty members receive updated communication and documentation necessary to successfully meet the needs of the students. (6) Other duties as assigned
Education (Minimum/Preferred): A college degree
Experience (Minimum/Preferred): Two years to five years
Knowledge, Skills and Abilities:
Must be proficient with using the computer – especially efficient with Microsoft Office. Superior organizational skills are required due to the multi-faceted responsibilities inherent in the position. Strong written, oral, and interpersonal communication skills as well as problem-solving, and multi-tasking skills are required.
Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (1 to 10 pounds).
Regular exposure to favorable conditions such as those found in a normal office.
