Functions/Duties of Position
The Executive Assistant (EA) will be the first point of contact for Dr. Kenton Gregory, Director of Regenerative Medicine, Lisa Buckley, Director of Regulatory Affairs and Clinical Trials, and the Center in relation to internal OHSU customers, such as members from other departments and members of the OHSU CRM Advisory Board. The EA will serve as an important asset in managing and maintaining relationships with national and international civilian and military collaborators, contractors, other existing and potential commercialization partners as well as potential funders, including important philanthropic donors and foundations. The EA is responsible for the overall office administration and management for the Center, ensuring the efficiency of the Center's work processes as well as a smooth flow of day-to-day operations and services. The EA will provide confidential and executive level support to the Director of Regenerative Medicine and the Director of Regulatory Affairs and Clinical Trials well as general support to the Regenerative Medicine staff, which consists of a 15-member team, including four M.D. and Ph.D. scientists. The EA will also assist in scientific and professional writing, editing, budget preparation, and submission of research protocols for Center activities, manuscript management and grant preparation (pre and post award), and other philanthropic efforts for the betterment of the Center.
Five years of general office management or fiscal and administrative experience
Excellent interpersonal communication skills
Demonstrated ability to maintain poise and professionalism when dealing with changing priorities and competing deadlines
Ability to interact in a positive and productive manner and work efficiently and skillfully with a variety of diverse staff
Ability to communicate effectively both in writing and verbally
Familiarity with the use and meaning of some scientific and medical terminology
Ability to work both independently and in a group setting
Proficiency in Microsoft Suite
Excellent writing, grammar, editing, and proof-reading skills
Exceptional organizational and time-management skills
Demonstrated ability to be self-motivated, to prioritize effectively and meet deadlines
Ability to interact with a wide variety of stakeholders in a professional and customer service-focused manner
High attention to detail and accurate record keeping skills
Able to perform the essential functions of the position with or without accommodation
Experience assisting with grant writing, scientific writing, and/or editing professional documents
Experience in an academic or research environment
Experience providing executive level support
Knowledge of the scientific Method
Experience with and knowledge of fundraising and development practices in a non-profit setting
