Essential Functions: JOB PURPOSEWorks with the Chair to provide leadership and management necessary to ensure the proper operational, administrative, financial and staffing procedures and resources are in place to ensure efficient operations of the Department of Family Medicine.ESSENTIAL FUNCTIONSSupervision of business administration staff to assure accountability and stewardship of campus resources in accordance with departmental goals and objectives. Evaluate staff and provide guidance, assistance, and expertise. Create positive work relations of mutual benefit between management and staff. Work with UPG leadership regarding clinical operations.Oversee faculty and staff appointments and other Human Resource functions with School of Medicine HR and Office of Faculty Affairs. Approve Electronic Personnel Actions Forms and Changes in Labor Distribution. Manage personnel using Personnel Manager software to forecast salaries, fringes, and effort for each person in the department.Manage annual expenditure budget. Develop revenue and expense projections, approve expenditures and monitor transactions for compliance with university, agency, policies and procedures. Effectively track and manage grant budgets and review on a monthly basis.Collaborate with the management team to develop and implement plans for the operational infrastructure of systems, processes, and personnel designed to accommodate the objectives of the Department of Family Medicine.Develop and monitor department grant budgets and financial analysis, approves financial and grant transactions using various systems including WayneBuy, Clincard, TravelWayne, etc.Conduct the full range of activities required to prepare, submit, and manage grant proposals to foundations, non-profit corporations, and government agencies.Ensure compliance with insurance standards and established federal regulations.
Qualifications: EDUCATIONBachelor's degree from an accredited college or university or an equivalent combination of education and experience required. Master's degree preferred. EXPERIENCEAt least five years of experience in the management of financial operations and in the planning, development and implementation of programs, policies and procedures. Comprehensive knowledge of grant and contract administration required, preferably in higher education.KNOWLEDGE, SKILLS AND ABILITIESCommunications Skills: Excellent communication skills, including written, oral and interpersonal communication.
