The Administrative Assistant III in the Department of Infectious Disease provides highly responsible and confidential administrative support, secretarial duties and clerical functions for the Infection Control Department.Enters data from various source documents into the computer system for storage, processing, data management and reporting purposes.Prepares correspondence and reports.This position actively supports the department's quality improvement and regulatory reporting requirements.
Audits report forms for accuracy of data and completion, and resolves discrepancies and delinquencies after communication with appropriate infection control staff.
Enters data into existing data base(s).
Maintains, cleans, and stores data.
Provides reports of data and assists with reporting to state, local and national centers.
Creates data for visual presentations.
Communicates with the infection control practitioners and the hospital epidemiologist regarding work progress and questions or concerns.
Maintains a secure database.
Prepares and maintains administrative records.
Prepares correspondence and reports.
Attends weekly epidemiology meeting.
Attends monthly Infection Control Committee meetings.
Prepares agenda and minutes for Department meetings; prepares and distributes meeting documents.
Prepares slide presentation on PowerPoint.
Makes and screens calls; provides telephone support for department office.
Assists in research protocols (data collection, entry, and interpretation/analysis).
Assist with contact and outbreak investigations which ma y include collecting information, entering and analyzing data.
Assists quality assurance projects in determining how to conduct a gap analysis.
Performs other duties as assigned.
High School Diploma or GED is required (must provide proof at time of interview)
Three (3) years of prior experience providing administrative support to a department or member of management is required
One (1) year of experience with one or more of the following activities: scheduling events with multiple participants, timekeeping, updating records and reports, experience responding to basic email communications is required
Intermediate experience in Microsoft Office applications including Excel, Word, and PowerPoint is required. (May be required to pass a proficiency test.)
