Position Summary: We have an exciting opportunity to join our team as a Departmental Secretary.
In this role, the successful candidate will be responsible for providing administrative support to the Advanced Practice Nurses and Physician Assistants program. Performs administrative duties that may require considerable experience, skill and knowledge of organization policies and practices
Creates and manages requisitions in the e-hire system.
Researches and resolves questions from staff related to the processing of payroll information such as benefit time, overtime and general issues related to payroll processing.
Communicates with the Payroll Services Department to ensure the accuracy of the payroll data including data related to new hires, terminations, transfers and rate changes.
Manages timesheets for all NPs and PAs in the Advanced Practice Nurses and Physician Assistants Program.Performs payroll and time entry for designated NPs, PAs and office staff. Inputs payroll changes as needed. Reviews and monitors all changes for accuracy.
Acquires additional staff in the event of a sick call or other unscheduled change.Communicates with staff on staffing shortage or coverage.
Collects and reviews NP/PA schedules from all covered clinical service areas.With minimal supervision from the Director, review all clinical schedules and ensure appropriate staffing as needed in each service area. Ascertain census of key service areas as directed.
Coordinates and process the application for all NPs/PAs Conference fund reimbursement on NYULMC payroll. Coordinates orientation of all new NP/PA hires and prepares orientation plans.
Orders and maintains an inventory of supplies for the department or oversees the function. Sets up and maintains files and complex records of departmental and program activities.
Initiates/coordinates resolution of problems using repeated practices.
May provide initial training and on-going guidance to clerical staff.
Coordinates calendar, schedules meetings and conferences, and arranges travel accommodations and itineraries.
May assist in budget preparation as needed.
Informs customers of standard procedures and company policy and facilitates customer satisfaction and adherence to company policies.
Researches and analyzes routine and non-routine data and writes descriptions of results or issues standard reports after reviewing data by utilizing various PC software applications.
Gathers and compiles basic information from a variety of sources; prepares and reviews summaries for accuracy; creates charts, reports and presentations.Prepares, composes and edits confidential, routine and non-routine memos, correspondences, reports, etc.
Provides general administrative support to an individual, group of professionals or department.Answers telephone calls, responds to inquiries and routes calls; greets, announces and directs visitors.
Minimum Qualifications: To qualify you must have a High School Diploma or the equivalent. Minimum of three years of experience in an office setting or equivalent combination of education and experience. Proficient in MS Office Products, databases and department specific applications. Effective communication and interpersonal skills required
Preferred Qualifications: Associate's Degree and three years of experience in an office setting
