Position Title - Plymouth Congregational Church Business Administrator
Position Summary The person in this position will be responsible for supporting the congregation’s work and mission through skilled administration, including business affairs, human resources, finance/accounting, property and maintenance management.
General: •This is an exempt position •Reports to Senior Minister; supervises support staff, including Public Safety Manager, Accounting Manager, Housekeeping Manager, Building Manager, Ministry Assistants.
Key Accountabilities Support the congregation’s mission •Understand and actively support the mission of Plymouth Church through skilled administration of its physical and administrative infrastructure. •Supervise the support staff, building strong morale while maintaining high performance standards.
Human Resources •Ensure HR processes and practices at Plymouth are consistent and current including selection, development, performance management, compensation, etc. •Provide advice and counsel regarding HR matters to the Senior Minister and Board of Finance and Administration Personnel Committee, as requested. •Manage the selection and development of support staff. •Oversee the payroll and payroll tax reporting system. •Ensure applicable laws and regulations are fully communicated and implemented (i.e., maintenance of personnel files, payroll, benefits, etc.) Finance and Accounting •Establish, review and monitor financial controls. Ensure an environment of control is in place. •Serve as liaison to external auditor and coordinate audit process. •Manage the accounting system including cash management, checks and other negotiable assets. •Manage the purchase and lease of capital equipment, services and supplies. •Supervise preparation of financial and other reports for clergy, program staff, church boards and the Treasurer/Assistant Treasurer. •Coordinate reports for the congregation’s annual and special meetings. •Assist Senior Minister in the preparation and development of the annual budget. •Oversee stewardship record-keeping system that collects and acknowledges pledges. Stewardship record-keeping system is maintained by Ministry Assistant.
Church Properties, Facilities, and Equipment •Work closely with the Property Manager and Building/Grounds Committee re: prioritization of scheduled maintenance and improvement of church properties. •Oversee the use of church facilities and equipment in accordance with relevant policies. •Oversee building security. •Negotiate rentals, acquisitions and disposals of church properties and facilities as directed by the Board of Trustees. •Manage the parking lots. •Coordinate and maintain the computer and phone systems.
General •Serve as staff liaison to Board of Finance and Administration and committees as directed by the Senior Minister. •Attend meetings of the Church Leadership Council. •Keep the Articles of Incorporation and By-Laws up-to-date and maintain working knowledge of these documents. Serve as information resource for others as necessary. •Execute special assignments as requested by the Senior Minister and/or Board of Finance and Administration. •Represent the church in interaction with government, the business community and neighborhood organizations as directed by the Board of Finance and Administration and Senior Minister. •Sit on boards and/or act as liaison to outside organizations as designated by the Board of Finance and Administration and Senior Minister. • . Problem Solving Responsibilities •Modify controllable spending to meet overall financial objectives •Address critical issues as needed to ensure the integrity of the church building, infrastructure and administration as well as the safety and well-being of its members •Prioritize and delegate work to meet deadlines •The Senior Minister will be kept informed of problems that are persistent or vexing in nature
Decision Making/Freedom to Act •This position has authority over the support staff and responsibility for the operational aspects of the church under the supervision of the Senior Minister. •This position requires sound judgment and the ability to represent the church in public and community settings. •This position is accountable to the overall mission of the church and maintaining collegial relationships with staff, Board members, colleagues, visitors and the congregation in general.
Preferred Qualifications •Bachelor’s degree minimum; Master’s degree preferred. •5-10 years of experience in church business administration. •Certification from the National Church Business Administrators strongly preferred. •Demonstrated strong leadership skills and communication capabilities •High standards regarding confidentiality and integrity.
