Supports other staff by performing task oriented duties while providing clerical, analytical, administrative, and/or operational support under general supervision. Assists the Project Directors in all phases of their projects as required. Utilizing custom construction management software, tracks and details all phases of construction projects at multiple locations. Helps ensure accurate expenditures and billing to assist with maintaining fiscally responsible project records.
Keeps project budgets and schedules up to date. Creates and maintains purchase orders, and prepares requisitions, budget transfers, and check requests as required. Ensures that invoices are properly coded and approved for payment. Creates Excel spreadsheets with minimal supervision for business analysis. Assists in the preparation of RFPs, RFQs and coordinates with Purchasing. Prepares closed projects for archives. Prepares Construction in Progress board for Board meetings. Responsible for a variety of administrative assistance functions, including but not limited to maintenance of office supplies and equipment, sorting and distributing mail, maintenance of department files, archives, reports, contracts, and coordinating and scheduling meetings. Retrieves, compiles, and disseminates basic reports, correspondence, agendas, or management information in support of the department. May assist the Director of Food Services in the preparation of costs and vending databases and with software issues as needed. Communicates with OTS if outside assistance is required. Responsible for other reasonable, related duties as assigned.
High School diploma At least 2 years of related work experience An Associate’s degree or higher may be considered in lieu of experience.
