Gustavus Adolphus College invites applications for a full-time Grants and Contracts Administrator with the Office of Research and Sponsored Programs.

This exciting new opportunity has a purpose to assist with research and sponsored programs administration, including financial and non-financial post-award management, research compliance, compliance tracking, and management of grant related data. Reporting to the Director of Research and Sponsored Programs (RSP), the Grants and Contracts Administrator provides support for grants, contracts, and other awards managed by RSP and those managed by the Director of Corporate and Foundation Relations in Advancement. These include grants and contracts from foundation, corporate, and government sponsors in support of faculty research, scholarship and creative activities, as well as those in support of curricular, programmatic, and College initiatives.
Duties and Responsibilities:
Manage data and develop reports relative to grant submissions and awards.
Maintain expertise on College policies, federal and state regulations, and policies and procedures related specifically to externally sponsored programs. Research, interpret, and apply regulations and guidelines effectively to ensure compliance.
Assist with the development of policies and procedures.
Assist with documentation of internal controls.
Track and maintain records for state and federal compliance requirements (Effort Reporting, Financial Conflict of Interest, Responsible Conduct of Research, etc.).
Develop resources, including trainings and web-based tools, for faculty and staff. Conduct one-on-one and small group trainings.
Ensure compliance with federal, state, sponsor, and College regulations and policies.
Process approval forms and documentation.
Facilitate sub-award set-up and amendments working with lead investigator’s institution.
Confer regularly with Project Directors to discuss the project, and expenditures related to the proposed work.
Review and approve grant expenditures.
Ensure compliance, in collaboration with the Finance Office, with audit requirements.
Assist with budget revisions during the grant period.
Assist with tracking cost-share commitments.
Assist the Finance Office with grant related invoicing, sub-recipient risk assessment and monitoring, and award close-out.
Process no cost extensions.
Work with Project Directors to comply with all grant reporting requirements, terms and conditions.
Track grant stewardship.
Assist with events such as the annual grants recognition event or grant writing workshops.
Ability to maintain high levels of confidentiality.
Other duties as assigned.
Bachelor’s degree in related field required.
2+ years of experience in grants and contracts administration.
Knowledge of standard concepts, practices and procedures related to grant management, including the federal Uniform Guidance.
Experience with accounting principles and grant accounting.
Ability to work with diverse constituencies of faculty, staff, administration and students, as well as to work independently.
Excellent organizational, communication, problem-solving, and interpersonal skills.
Experience managing budgets and other data using spreadsheets, databases and web-based reporting systems while maintaining a high level of attention to detail.
Master’s degree in related field preferred.
Experience with post-award grants and contracts administration in a higher education setting.
Experience with website maintenance.
Writing, editing, and small group presentation skills.
