The Administrative Assistant IV isresponsible for a wide range of administrative and support functions: preparesand distributes correspondence; prepares reports and presentation materials inWord, Excel and PowerPoint programs; maintains various computer programs anddepartment records; researches and coordinates department projects andassignments; arranges conferences; and maintains appointment and meetingschedules. This position requires daily contact with all levels of managementacross the organization and with other affiliates.
Coordinatesprojects in Managed care and other Cook County Health & Hospitals System (CCHHS)departments as required
Arrangesconferences, gather and prepare pertinent documents
Tracksand maintains operating and capital budgets
Schedules,coordinates and arranges meetings
Draftscorrespondence, manage phone calls and messages
Maintainsfiles, types and copies documents as needed
Managespurchasing/office supplies, vendor payments, timekeeping and payroll
Takesand maintains meeting minutes
Overseesmaintenance of office equipment
Implementsand maintains Department policies as directed
Maintainspersonnel and financial records, including timekeeping
Collectsdata and performs data analytics and convert data into PowerPoint presentations
High School Diploma or GED (must provide proof at time of interview)
Three (3) years of experience providing administrative support to a member of middle or upper management, or for multiple managers, or multiple departments is required
Two (2) years of experience scheduling meetings or other multi participant activities is required
Prior experience gathering and tracking departmental information and maintaining departmental reports
Prior experience coordinating and tracking short term projects within the department
Experience managing email and written communication
Intermediate proficiency with Microsoft Office Suite including Word, Excel, PowerPoint, and Outlook (candidate may be required to test for proficiency)
