Advertised Summary Job Description: This position is located on the Lamont Campus in Rockland County, NY.
Responsible for pre- and post-award sponsored projects administration. Responsible for budget and proposal review within strict regulations and tight timetables. Coordinates work with LDEO investigators, division administrators and Columbia University central administration.
Prepares and reviews budgets in Excel. Coordinates the preparation and review of all scientific proposals, for assigned departments, in various different electronic systems, to be submitted to sponsoring agencies often within tight timeframes. Works closely with LDEO investigators, division administrative staff and with counterparts at the Office of Sponsored Projects Administration (SPA) on submission of proposals.
Responsible for reporting compliance within assigned departments of award deliverables. Issues monthly notification to Principal Investigators and Division Administrators of upcoming due dates. Compiles and escalates monthly list of overdue deliverables. Maintains reporting spreadsheet for all active awards within assigned departments.
Responsible for the daily update of the principal investigators current and pending statements. Updates internal spreadsheets. Backup to other Project Coordinators, as needed. Other related duties as assigned.
Receives detailed policies and direction from the Manager. Works independently within set guidelines on all key aspects of the job. Alerts supervisor on questionable content or variations from usual policy.
General responsibility for accuracy of all budgets contained in proposals and accurate reporting of all Government funding coming into the Observatory. Oversees accurate preparation and reconciliation of line items for budgets in the several millions of dollars per year in Government funding.
General Minimum Qualifications: Bachelor's degree or its equivalent and 0-2 years of experience required.
Must be able to work independently and communicate professionally with Government and University officials.
Additional Specific Minimum Qualifications: Must have excellent computer and communications skills, and be highly skilled in Excel software.
Preferred Qualifications: Prior related work experience and some college preferred.
Experience with complex budget preparation and proposal processing for government and industrial agencies preferred.
