Under general supervision, provide high level fiscal and administrative support to the Department's Fiscal Analysts. Solely responsible for the preparation and coordination of all reimbursement activities for the Bioengineering Department. Responsible for performing on-line journal voucher entries of award allocations, budget adjustments, differential income realignment and other financial journals. Fiscal assistant will also be the department's Express/Travel Card Administrator and manage all the duties required by the administrator from training to maintaining and updating procedures with University requirement changes, as well as providing new express cards to new cardholders and handling audits, cancellation of cards, and various of other administrative responsibilities. Fiscal assistant will be the central contact for travel related questions and issues. In addition, this position will also directly support the fiscal manager with various financial and data collection tasks and act as a liaison between Bioengineering department and various departments such as Travel, Marketplace, Central Cashiers, Gifts Processing, and other central campus units.
Experience working in an academic setting and variety of administrative tasks in fast paced environment.
Experience preparing and completing travel requests, reimbursements, purchase orders, and budgetary accounting tasks. Knowledge of federal, state, and private contract and grant regulations and procedures.
Demonstrated experience processing international travel and honoraria in a higher education setting. Experience with reimbursement policies and procedures. Knowledge of mathematics and statistics reporting procedures sufficient to develop and present accurate information and prepare budget/expenditure reports. Ability to propose, track, and forecast budgets.
Demonstrated skill to independently research, interpret and apply policies and procedures for problem resolution and interpret funding agency regulations governing allowable costs to contracts and grants.
Knowledge of online entry of allocation journals, pay-auths.
Proficiency with Microsoft Office (Word, Powerpoint, Outlook, Excel).
Ability to multi-task and prioritize, working for multiple deadlines and faculty. Must be able to stay organized and professional in an academic setting.
Ability to communicate clearly, effectively and professionally in person, in writing, via phone and email with the ability to take clear and concise messages in a timely fashion. Excellent interpersonal skills with a strong demonstrated ability to communicate orally and in writing. Possess tact, poise, diplomacy, and hospitality with a diverse population of staff, faculty, industry.
Demonstrated an ability to work as part of a team, to independently and willingly assist in other areas as needed, to accept changing priorities regularly, to perform duties not normally assigned to this position as needed or directed.
Ability to demonstrate creativity and initiative in identifying, responding to, and resolving problems in a professional manner.
Ability to identify and communicate potential risks and issues that will have a substantial impact on the Express Card.
