Essential Job Duties:
The primary purpose of the Program Manager is to provide leadership over various business aspects in the Office of the Secretary of the American Mathematical Society. This position will ensure compliance with Society policy and bylaws. Moreover, it will have the overall focus to design and maintain an electronic archival database and methodology, which will encompass detailed, historic and biographic information on AMS committees, members, stakeholders, students, etc. This position will serve as that of right-hand of the AMS Secretary and, as such, will be a strategic partner on multiple nomination committees and council meetings. Finally, this position will have discretion and ensure financial/budgetary oversight for the respective funding streams within the Office of the Secretary.
Additional duties of the Program Manager include: - Research, compile, post and disseminate documents for AMS Meetings and activities, including agendas, minutes, workbooks, monthly reports, election information. - Travel out-of-state to 4-6 AMS Committee Meetings each year, including the Joint Mathematics Meetings in January, the AMS Council Meeting in April, and the Committee on Committees meeting in May. - Develop and maintain archival databases of all activities of the Society, current and previous, including officers, keynote speakers, prize-winners, Fellows, committee charges, membership, agendas, and minutes. - Coordinate annual appointment letters of new members to more than 100 AMS committees, invitations to newly elected Fellows of the Society; respond to requests and inquiries from AMS members, AMS staff, the press, and the public about AMS governance and policy issues. - Coordinate activities with AMS Headquarters in Providence, RI and the Washington, D.C. office.
Require post-baccalaureate credentials or a bachelor's degree plus alternative or equivalent professional training and experience may be substituted for the advanced degree on an exceptional basis.
- Excellent written and verbal communication skills; ability to interact with a professional audience. - Ability to make accurate and consistent interpretations of a broad variety of organizational and governance policies and procedures. - Flexibility to travel to 4-6 out-of-state meetings and conferences per year. - Ability to exercise judgment and work independently. - Strong organization and time management skills to ensure scheduled deadlines. - Excellent interpersonal skills with the ability to work creatively, collaboratively, and effectively as a member of a team distributed throughout the U.S. - Computer proficiency – must be knowledgeable in the design and use of databases, in the development and maintenance of web pages. - Ability to exercise good judgment and discretion, particularly in matters relative to confidential committee deliberations and sensitive organizational matters. - Self- motivated and creative with high attention to detail. - Proficiency with software for word processing, spreadsheets and presentations. - Ability to present information clearly and concisely in oral and written form.
- Bachelor’s degree in a relevant field preferably in Computer Science, Mathematics, Business or closely related field. - 2 or more years of experience or equivalent in advanced training. - Experience or advanced training in database and web page development. - Expertise in writing and interpreting policy documents. - Experience coordinating and managing large projects. - Business management training or experience.
