Summary: Reporting to the Director of Administration, the Staff Assistant III Communications performs a variety of complex administrative support duties in support of the HPAC Communications Team. Primarily, the Staff Assistant III will support the Assistant Vice President of Communications and other senior communications team members as assigned. Works independently with minimal supervision. This role will work across teams and functions to integrate activities, tools and information in service to broaden departmental priorities. Works independently with minimal supervision in a work environment of multiple and conflicting priorities; anticipates and resolves problems and updates supervisor on status of projects. May oversee work of support staff, students, interns and temps.
Typical Duties and Responsibilities include the following. Other duties may be assigned as needed.
Makes appointments and manages calendars, arranges meetings, schedules rooms and equipment.
Organizes and implements administrative systems and procedures performing necessary support duties.
Provides primary back-up support for department receptionist role, including participation in and management of front desk coverage schedules. Back-up support for other department leadership, including scheduling, phone and meeting management and occasional in-person support as needed.
Works with other HPAC team members to staff and manage the ISDN Radio Booth including coordination with Harvard staff, faculty and external media contacts.
Assist HPAC staff in the daily research and collection of media coverage.
Serves as principal source of information on established policies and advises staff on existing options or alternatives.
Prepares and maintains unit's and principal's records (such as financial, personnel, administrative, student) reviews complex documents, reports, etc., to assure compliance with University, requirements and/or government regulations.
Acts as liaison with related programs or projects within Harvard, at other universities or with government agencies, keeping the supervisor informed of relevant information.
Provides for smooth day-to-day flow of communications within the unit.
May compose, proofread, edit and prepare correspondence, reports and other materials using word processing, spreadsheets and/or databases.
May arrange for use of facilities and advise availability of services within and outside the University for gatherings such as conferences and seminars.
Is available to coordinate department projects and initiatives as needed.

Minimum 2+ years of related experience. Education beyond high school may count toward experience. Business training beyond high school or college background preferred, or an equivalent of education plus relevant business experience. Strong skills in customer service, ability to problem solve in the moment, and works well on a team with multiple priorities. A strong command of Microsoft Office programs, with strong proficiency in Outlook, Word and Excel. Skills testing may be a component of the interview process for this position.
