<p>Duties and Responsibilities:<br /><br />Administrative Support – 45%<br /><br />? Maintain an organized and professional office environment. Coordinate reception area business processes with reception for in-person, phone and email inquiries from students, faculty, staff, and others.<br />? Provide administrative support to the CLA Undergraduate Education leadership team, including distribution of correspondence and other communication on their behalf, pulling reports, tracking student information, and responding to requests for information and assistance from students, faculty, staff, and others. Ensure communication in compliance with FERPA and other regulations governing student information.<br />? Assist in the development of best practices for the processes of the Office of the Associate Dean. Serve as primary back-up coverage to front desk as needed.<br />? Maintain the organization of shared documents. Update operating policies/manuals and directories as needed.<br />? Update directories of staff, departmental, and academic unit contacts as needed.<br />? Schedule meetings and maintain calendars of the CLA Undergraduate Education leadership team.<br />? Manage office inventory, order office supplies and facilitate office purchases according to University policy.<br />? Manage the Dean’s list each semester.<br /><br />Program and Event Coordination – 15%<br /><br />? Collaborate with event project and program managers to coordinate logistics, recruit staff and volunteers, collect information, and prepare materials for meetings, staff retreats and training, staff development activities, and other unit and college-level events (examples include: Showcases for prospective students, First Year Experience events, Parent Orientation, College Day, CLA Parents Weekend Reception, various scholarship receptions, Dean’s Freshman Research and Creative Awards events, and Commencement).<br />? Support Commencement and College Day planning committees.<br />? Provide support for unit meetings, including scheduling, room set-up, taking minutes, and material preparation.<br /><br />Facilities and Technology Management – 15%<br /><br />? Assist with space management, and complete periodic space inventories.<br />? Serve as point person for facilities and maintenance requests.<br />? Liaise with CLA IT staff to facilitate provision of service to CLA UGE staff as needed. Arrange for installations of computers, phones, printers and projectors, and recycle all appropriate equipment as scheduled by the college.<br /><br />Student Worker Supervision and Training - 15%<br /><br />• Hires and oversees unit student workers (front desk coverage).<br />• Supervise, coach and mentor student workers. Provide work direction, feedback and conduct performance reviews.<br />• Conducts and coordinates training on best practices, student services, FERPA and communications.<br /><br />Operational Support – 10%<br /><br />? Provide support for and/or serve on unit, college-wide and university-wide committees and groups as appropriate.<br />? Other duties as assigned.<br /><br /> </p>
<div><strong>Required: </strong></div><div>High School Diploma/GED and four (4) years of related office and administrative experience. Training/education may be substituted for up to two years of experience.</div><div>Project coordination/collaboration and/or event planning experience.</div><div>Strong customer service orientation.</div><div>Excellent written communication skills and computer skills.</div><div>Demonstrated ability to manage time and priorities in the face of multiple projects and deadlines.</div><div> </div><div><strong>Preferred: </strong></div><div>Experience with student services, office management, or program administration in a higher education setting, and familiarity with FERPA compliance in these activities. Facilities management and/or space planning experience.</div><div>Experience working with student employees.</div><div>Excellent organization, interpersonal and communication skills.</div><div>Experience using PeopleSoft or other student information applications.</div>
