Bachelor's degree in related field. Four years relevant administrative assistant experience or experience in a related field. Experience in Higher Education is desirable. A combination of education, experience, and training that would produce the required knowledge and abilities could be considered.
Nature & Purpose of Position/Usual Duties:
Performs highly responsible administrative assignments and coordinates administrative services for the Office of Dean of Students.
Primary Responsibilities (Staff Positions Only):
Processes correspondence and answers requests of a complex nature referring matters which are highly complex, controversial, or specialized to the appropriate authority level. Determines work priorities, develops schedules, and plans the processing of work. Provides considerable independent judgment in the management of an office. Coordinates calendar and appointment schedule and responsible for maintaining a calendar of all meetings. Provides administrative assistance by relieving the office or department of a large volume of complex decisions. Provides supervision of staff in the operation of the department. Completes electronic personnel action forms (EPAFs) and responsible for maintaining accurate records of assigned personnel. Makes complex office decisions within related area according to policy and without close supervision. Prepares financial, statistical and complex factual information from a variety of sources. Budget management, monitoring and transfers, P-Card and purchase requisitions, reconciliation and purchase order payment approvals. Serves as liaison between other university departments. Coordinates appeal hearings for the Parking Appeals Committee. Counsels others regarding university structure, policies, rules and procedures within specialized field. Responsible for the maintenance of extremely accurate records and information for various administrative requests. Responsible for Travel requisitions and vouchers for all Dean of Students' Office staff. Ensures all instructions/guidelines are met for the annual Student Service Fee (SSF) budget request and all SSF requests are turned in to the Student Service Fee Committee Chair. Interprets policies and explains procedures relating to activities performed in the department. Conducts Dean of Students' Office annual property inventory and responsible for the office equipment maintenance, supplies, and troubleshooting. Works closely with Student Government Association (SGA) to process travel and purchasing for members. Performs other related duties as assigned.
