Rutgers, The State University of New Jersey is seeking an Administrative Coordinator II for the Facilities Maintenance Services Department.
Under the direction of the RBHS Central Campus Manager, the Administrative Coordinator II oversees all financial aspects of billable work performed by RBHS Facilities. Processes all billings associated with chargeable work, maintains comprehensive records of billable work inclusive of single and multi-craft projects and ensures accuracy of all AiM data associated with same.
Analyzes, distributes and processes all billable work estimates prior to submission to the requester.
Updates status of all Work Requests associated with billable work in AiM from estimating, awaiting funds to complete.
Maintains and enters all financial and departmental information associated with material procurement for all billable work and keeps each billable Work Request up to date, while in progress.
Processes all Material Order Request Forms, associated with billable work.
Tracks all expenses related to billable work for future billing and invoice payment.
Participates in administrative planning, organization, administrative and procedural studies; assists in introducing new techniques and methods to improve billable work administration.
Prepares special projects or reports, as assigned, by the RBHS Central Campus Manager.
Minimum Education and Experience:
Bachelor's degree in a related field plus one year of administrative experience in a government agency, university setting or large business office with responsibility for general office functions and preparation of reports.
Equivalent experience, education and/or training may be substituted for the education requirements.
Required Knowledge, Skills, and Abilities:
Must be proficient in computer applications as required by the department.
