The Administrative Coordinator will assist the office in achieving its mission by providing a high quality of executive support to the Regional Engagement team and the global network of over 100 UVA Clubs. UVA Clubs of global, regional networks that engage UVA alumni, parents and friends in the life of the University. Responsibilities include expense reporting and reimbursements for Regional Engagement Staff, obtaining approvals necessary for contracts and expenditures, UVA Club leadership stewardship, and administrative duties. In addition, the Administrative Coordinator oversees and manages the Jefferson Book Award program for high schools. The incumbent will manage print and mailing for events and the coordination of all shipments.
The qualified candidate will have a minimum of two years' experience in the following: administrative work experience in an office environment; experience preparing outgoing correspondence using word processing software; experience working with spreadsheet and central financial accounting applications; and experience managing confidential information. In addition, he/she will have demonstrated superior organization, communication and writing skills; demonstrated ability to multitask and attention to detail; working knowledge of office practices and procedures; the ability to interact with executive level administrators, government officials, business executives and faculty; am understanding of office protocol; and the ability to maintain a high level of professionalism.
Required Minimum Level of Education: High School Diploma or Equivalent Required
Preferred Minimum Level of Education: Bachelor's Degree
Required Minimum Level of Experience: Some - up to 4 years
Required Specific Experience: A minimum of two years' experience in the following:
- Administrative work experience in an office environment.
-Experience preparing outgoing correspondence using word processing software.
-Experience working with spreadsheet and central financial accounting applications.
-Experience managing confidential information.
Preferred Minimum Level of Experience: Some - up to 4 years
Preferred Specific Experience: Previous experience at the University processing travel reimbursements is preferred.
Experience dealing with a variety of people is preferred.
