This position will provide administrative assistance to Executive Dean of Arts and Sciences; plans, directs and conducts a variety of administrative and planning activities to support the work of the Deans and the College; determines course of action and delegates to appropriate person to manage; manages, coordinates, arranges and schedules Executive Dean’s meetings and travel (this includes coordinating logistics for meetings and conferences); assess concerns or problems directed at the Executive Dean’s office; screens and handles incoming calls and visitor inquiries; organizes and prepares agendas and itineraries; attends key meetings; records and transcribes meeting minutes with appropriate distribution; coordinates special projects; serves as liaison to arts and sciences administrators, university officials as well as government officials, national officials and consultants; handles confidential and sensitive correspondence; researches, coordinates and writes a wide range of writing projects; reviews and approves documents for Executive Dean including letters, forms, and email communication to staff, faculty and students; authorizes, prepares and process reimbursements; develops and implements administrative policies and procedures related to Executive Dean’s office; facilitates coordination of Executive Dean’s activities and projects with Divisional deans and staff; resolves facilities issues; Serves as the Office Manager for the Executive Dean’s office (this includes coordinating schedule of students and staff in order to properly ensure proper staffing and that the office functions smoothly). This position will require working the university standard hours of 8:00 a.m. – 5:00 p.m. but also a strong emphasis on flexibility and a willingness to perform other reasonable duties as requested, including the ability to come in early and stay late and/or work a day in the weekend as needed.
Bachelor’s degree or equivalent combination of education and experience; considerable experience working with senior officials; experience in a progressively responsible administrative position.
Extensive experience in a high-level administrative support capacity; experience working in an academic environment; computer proficiency required with extensive experience using Microsoft Office applications; knowledge of University policy.
Target Salary: $70,008.00 - $76,008.00 Annually
