The department of Atmospheric and Oceanic Sciences seeks a part time Faculty Assistant to provide executive level administrative support for a prominent senior faculty member who, in addition to his teaching responsibilities, has significant/concurrent responsibilities as Director of the Cooperative Institute for Climate Science and a large research group. This position requires a mature individual with highly polished office support skills and a professional demeanor to support the senior faculty member across teaching, research, leadership and professional responsibilities.
This is a part time position, 20 hours per week, for a one year term with the possibility of renewal for an additional two years contingent on performance and funding.
The assistant's primary responsibilities will include:
Coordinate executive communications, including taking calls, responding to emails with discretion and quick response on urgent matters.
Manage professor's calendar.
Schedule appointments, meetings and events.
Assist in preparation of annual reports as requested.
Respond to and direct large volume of inquiries from domestic and international media, and government agencies for information relating to high profile research.
Coordinate comprehensive travel arrangements including creation of complex itineraries and all other logistical matters.
Support teaching responsibilities including management of Blackboard, preparation of confidential recommendations for students, and correspondence with students.
Assist in the preparation of lecture materials.
Maintain daily agenda keeping high priority matters on task.
Track journal manuscript progress.
Liaison between project teams, setting meeting dates and time, and assist in maintaining records of project progression.
Additionally, the successful candidate will:
Draft correspondence as requested.
Create graphs and PowerPoint slides.
Maintain/update filing systems.
Perform library research.
Provide information to maintain/update professor's website.
Maintain current CV's of various lengths and detail, and independently create CV's and blurbs describing professor's work.
Minimum 3-5 years of related experience is necessary.
Must be flexible and able to work autonomously.
Excellent interpersonal skills and ability to interact effectively with faculty, students, administrators and the external community.
Ability to take initiative prioritizes, multitask, work independently, and meet deadlines.
Must possess sound judgment and discretion needed to handle confidential information.
Must be able to handle high pressure situations with tact and calm demeanor.
Strong decision-making and delegating skills. Excellent communication skills necessary.
Essential skills include proficiency in both PC and Macs, Windows, Microsoft Office (Word, Excel, PowerPoint), image software, and Internet software. Ability to learn and use new computer programs as needed.
Professional and friendly demeanor.
Prior experience at an academic institution, supporting senior faculty strongly preferred.
Knowledge of Princeton University applications.
