The Administrative Associate III will be responsible for:
Pre-award grant application process full training provided by manager
Learning the grant submission process and how to complete & submit grant application business documents to OSP
Completing CHeRP (Children's Hospital Electronic Research Portal) online cover sheet
Working with subcontracts to help obtain their business documents for the application
Working with other BCH departments to help obtain their business documents for the application
Completing the NIH/government application forms
Maintaining researcher's biosketch (resumes for applications)
Managing the grant application agency & BCH policy, updating templates and regular documents
Processing Accounts Payable reimbursements
Processing of consultant & vendor invoices
Assisting staff with booking travel (airline/hotel)
Processing Purchase Order requisitions & obtaining quotes from vendors: computer, software & office supplies
Assisting with biweekly payroll processing
Managing the conference room calendars: self-managed auto booking system / printing weekly schedule and posting outside the rooms every Monday this needs to be done
Assisting with conference room set up – checking room is tidy, speaker can connect to VGA cable-projector
Miscellaneous: audit/tracking of keys to office, desk and cabinets
Processing HR requisition FTE and AP's
Tracking required Staff training for compliance (MYR's & Flu shots)
Onboarding New hires (ad hoc); issue keys, request ID Badge access (Security), submit Online Access Request (OAR)forms, request telephone ext.
BCH and HMS Appointment process – cross trained to assist Admin Manager
Staff training certification tracking; CITI human subjects, Conflict of Interest, Excellence in Service, High Reliability
To qualify, you must have:
A high school level of educational development and six months in position as an Administrative Associate II.
An in‑depth knowledge and understanding of the department and hospital programs, policies, procedures and information related to his/her functions and services.
Initiative in improving operations within area/department, and the ability to assists in implementing changes.
The ability to assist in overseeing the daily activities of co-workers to help plan, prioritize and delegate work assignments.
