Bullis School, a K-12 independent day school in Potomac, MD, seeks a full-time Human Resource Administrator to support the Business Office in its HR, payroll, and benefits operations. This position reports to the Chief Financial Officer (CFO).
The HR Administrator drives organization-wide strategy for recruiting, onboarding, developing and retaining exceptional and diverse talent that makes a positive and sustained impact on Bullis School’s mission. This individual will provide strategic and operational advice to set the strategic direction for staffing, organizational structure, and people-related processes and to translate strategies into operational plans. The HR Administrator will amplify Bullis’ employer brand both internally and externally by driving employee engagement and promoting external awareness among talent communities. This role ensures an optimized staff structure with clear roles, capabilities, core functions, and management relationships that maximize individual and team potential and ensure accountability for organizational performance. This position will design and implement initiatives that support Bullis in remaining a model of equity, inclusion, and diversity in all aspects of its work.
Primary responsibilities include:
Human Resource Administration
Work with the CFO & administrators to draft and update job descriptions, advertise open positions, recruit new employees, screen applicants and interview prospective employees on behalf of the school
Manage all aspects of onboarding newly hired faculty, administrators, and Summer Programs staff; clear all new employees for work at the school
Lead the School’s compliance with all federal and state laws concerning human resource management, benefits, payroll, wage & hour, and personnel
Retirement plan assistance (including maintaining compliance with school’s retirement plan, process employee enrollment, loans and distributions)
Draft and revise employee handbook annually, also, as necessary, to comply with new regulations or operating procedures
File and follow up on all workers compensation claims, FMLA, and works with the leadership on critical HR issues.
Annually facilitate and prepare faculty/staff employment agreements and compensation schedules, letters of employment or contracts for non-faculty/staff coaches
Lead the annual employee review process with the CFO
Affirm and update all school personnel files to ensure that all data within each file is compliant with the State of Maryland and Federal requirements
Review all updates from finger supported background checks on current and former employees
Manage and direct staff and administration/faculty on interviewing, performance management, harassment, disciplinary and appropriate HR topics
Use discretion, and judgment when providing advice and counsel to management while maintaining strict confidentiality of employee and school information at all times
Work with CFO to research benefit program options to benefit the school and staff
Manage the school’s annual open enrollment process
Responsible for implementation of new benefit programs, communication of any updates, changes, and termination of benefits or HR compliance information to the staff
Monitor enrollment dates and adds or deletes employees to and from applicable benefits coverage as required
Calculate and reconcile amounts due to the respective vendors and submits invoices for timely payment
Manage the benefits budget and track monthly expenditures against the budget
Lead training for eligible faculty/staff on available benefits and assist faculty/staff with payroll/benefit questions.
Work with Third Party Administrator and auditors on timely filing the 5500 reports, non-discrimination testing, and 40l-K audit
Manage relationships and implement changes from third-party administrators, benefits broker, and HR consultant to assure compliance with regulations
Maintain payroll database; inputs new hires, review teacher leave report, process employee terminations, address changes, and pay/deduction adjustments into ADP and other benefit provider databases.
Verify that all necessary pre- and post-tax deductions for benefit programs are included in appropriate payrolls
Verify the accuracy of tax impounds and federal tax deposits made by payroll provider
Verify the accuracy of federal and state payroll tax reports submitted by payroll provider, including W-2 forms and quarterly 941s
Ensure timely payment for salaries, annual staff milestone awards, and stipend payments
Work with the rest of the business on timely monthly closings
Compile and enter survey data for NAIS, MISBO, NBOA
Responsible for applicable portion of month-end close process
Prepare audit documentation and serve as the audit contact retirement plan audit
Function as a collaborative team member in the school and backup support to the Business Office
Ensure the daily coordination of short-term and long-term substitutes for Administrators out sick or on extended leave
Bachelor’s degree required. An advanced degree is considered a plus.
Member of HR, payroll, and accounting professional associations and certification preferred (APA, SHRM, HRIC, etc.)
Experience in the non-profit or independent school environment and knowledge of the state of Maryland employment regulations
Must be a self-starter who is detail oriented and able to handle multiple priorities accurately in a fast-paced environment
Team player with a customer service attitude and ability to also act as an independent contributor when needed
Minimum of five years of experience in human resource, payroll and benefit administration
Technologically proficient in Google and Microsoft Office. Experience with Veracross (accounting system), ADP (payroll), Employee Navigator (benefits software) and Clear Company (recruitment platform) would be ideal
Benefits audit and accounting experience required
