Provides coordination in the Office of the Provost for a variety of programs and initiatives led by the Associate Provost for Undergraduate Education and the Director for Undergraduate Education. Handles key communications with internal and external stakeholders, management of complex scheduling, prioritization of competing priorities; coordinates and administers programs, events, processes, and projects across the University; provides support on select budgets related to projects and initiatives, and conducts research in support of special projects.
Coordinates and provides administration for multiple programs and initiatives, including among others: the Undergraduate Council; Searle Fellowship Program, and the Summer Academic Workshop. Maintains understanding of all key initiatives and tracks potential agenda items for APUE led meetings; proactively ensures materials are prepared and facility logistics are addressed for upcoming meetings; provides input and executes next steps to ensure programs, projects and initiatives are executed smoothly and efficiently. Works extensively with faculty, administrators, staff, and undergraduate students across the University to continually improve processes and follow up on project plans. Provides administrative support for searches as needed.
Manages and prioritizes complex scheduling for the Associate Provost for Undergraduate Education. Makes frequent and ongoing judgment calls about competing priorities and timelines.
Initiates transactions, prepares expense reports, runs monthly reports, in counsel with the business team, related to all units within Undergraduate Education area; provides expense management and budget assessment; may manage additional funds as requested.
Manages portions of the Provost Office web site utilizing the web content management system; updates and maintains websites related to Undergraduate Education as well as other projects.
Provides programmatic support for additional areas of the Office of the Provost as needed, and, on a rotating basis, provides scheduled back-up support for the Assistant to the Provost and for the University Administration Receptionist.
Performs other duties as assigned, including coordination of the Associate Provost’s research and teaching activities with staff in his academic department.
Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
1 year program/project administration or other relevant experience.
Three or more years of related experience.
Working knowledge of University systems, including human resources, financial, and student systems. Experience with SharePoint and Web Content Management software tools.
Excellent interpersonal skills, high flexibility, and ability to work effectively with internal and external constituents, including students, faculty, administrators, and representatives of outside organizations such as community, foundation and government entities.
Understanding of the philosophy, culture, goals, and structure of a university, including teaching, research, and service components.
Ability to prioritize among multiple deadlines and projects simultaneously. Ability to work effectively and make nuanced judgments in a fast-paced environment.
Strong skills in writing and editing reports, publicity materials, and email correspondence.
Excellent judgment and tact in handling information and making decisions about a variety of confidential and sensitive topics.
High level of service orientation in assisting students, faculty and staff, including proactively generating multiple, creative solutions to resolve problems.
Experience doing research on peer university programs and synthesizing information from a wide variety of sources. Strong qualitative and quantitative analytical skills.
Strong skills in writing and editing short reports, publicity materials, and email correspondence.
Advanced skills with Microsoft Outlook, Word, Excel, and PowerPoint.
