Rutgers, The State University of New Jersey, is seeking a Management Assistant for the Office of Research & Economic Development. The Management Assistant provides a wide variety of administrative and support services for the Institutional Review Board (IRB). Handles highly confidential and sensitive information regarding human subject research. The core purpose of the Office of Research and Economic Development (ORED) is to advance Rutgers preeminence in research and spur economic growth. ORED provides services universitywide to support faculty research and to strategically lead the university’s economic development activities. ORED's functions range from supporting the identification of new research funding opportunities and submission of grant proposals to post-award financial management and research regulatory affairs. The office directs research commercialization, including patenting and licensing, and serves as a central point for industry access.
Provides administrative support to the Director, Assistant Director, IRB Chairs and IRB Committee members, acting independently and exercising initiative. Uses judgment and discretion in executing job responsibilities and in handling confidential information. Makes appointments, schedules meetings, prepares agendas and takes minutes at confidential meetings. Handles incoming mail and phone calls, answers basic IRB questions, directs callers to online information resources and routes inquiries to appropriate staff when necessary.
Responsible for coordination of IRB submissions and reviews for all campus schools. Screens incoming applications; contacts and advises investigators in preparation and completion of application process.
Acts as a router for all protocol submissions. Must use appropriate judgment and knowledge of the IRB process to route information and respond independently. Completes electronic database entry of all IRB submissions as per current IRB policies and procedures.
CITI administrator for all IRB offices. Processes and submits external IRB (e.g. WIRB) applications/modifications as assigned for the Newark and New Brunswick campuses. Provides training and guidance on electronic submission systems including eIRB.
Drafts correspondence that conveys IRB deliberations and contingencies for approval of research activities involving human subjects. Proofs and edits IRB correspondence.
Maintains electronic distribution lists of IRB members, researchers, and other constituent groups. Forwards relevant items of interest as needed, including monthly reminder notices to investigators.
Works in partnership with the IRB Director, Assistant Director, IRB Chairs and IRB Committee to make sure that appropriate issues regarding protocol submission are managed through the IRB administrative office in a professional and confidential manner. Maintains and files IRB documents. Uses discretion to archive regulatory files.
Handles all aspects of the IRB office process for purchasing, billing, reimbursement, supply inventory and equipment maintenance. Responsible for administrative updates to the IRB training manuals and reference materials under the supervision of IRB Director and Assistant Director. Provides training and guidance to temporary part-time staff and work-study students.
Keeps abreast of and understands institutional, state, and federal standards as they apply to IRB operations.
Minimum Education and Experience:
Bachelor's Degree in Business Administration, Finance or a related field, plus one (1) year of professional level experience in a business office, government agency, or university setting.
Must be competent in typing, use of all products in Microsoft Office including proficiency in Excel spreadsheets, Microsoft Word, PowerPoint, electronic submission systems, and electronic database tracking systems.
Equivalent experience, education and/or training may be substituted for the degree requirement.
Experience with IRB regulatory compliance, administration of grants & contracts and/or research.
