Management Oversight of the Manager, Executive Office
Establishing a clear and equitable division of labor and in the delegation of above enumerated functions to the Manager, Executive Office.
Primary accountability for the following activities, with delegation as appropriate to the Manager, Executive Office.
Executive Office Management
Manages administrative functions for the executive office, Executive Director, and Deputy Executive Director & General Counsel.
Liaison to NSPE President, President-Elect, Vice President and Immediate Past President
NSPE Board of Directors:
Scheduling and logistics of regular conference calls and (as needed, face-to-face meetings) of the NSPE Board of Directors.
NSPE Executive Committee
Scheduling and logistics of regular conference calls and (as needed, face-to-face meetings) of the NSPE Executive Committee.
NSPE House of Delegates
Follows up with all NSPE state societies/interest groups to collect names of House of Delegates members
Staff Liaison to NSPE Past Presidents
Staff Liaison for NSPE Council of Fellows Executive Committee (COFEC)and Annual Fellow Section Process
Staff Liaison to Candidate Screening Committee (CSC)
Advisory Groups/Liaison Societies
Committee Appointment Process
Assists the NSPE President-Elect with appointments to nearly 35 boards/committees/task forces/liaison societies.
Annual Professional Engineers Conference
Works with the incoming President on various tasks associated with the annual PE Conference
Annual Budget Preparation
Prepares three-year budget for the following departments:
Licensure & Professional Practice
Such other duties as assigned by the Executive Director.
The responsibilities of this role extend beyond that of an executive assistant or secretary and encompass the ability to exercise independent judgment, diplomacy, and a customer/member-service perspective in his/her performance of organizational and administrative functions.
Strong office management, organizational, and time management skills
Strong supervisory skills – ability to supervise, manage performance and discipline, and effectively delegate duties to ensure efficient performance of the Executive Office.
Ability to be proactive, foresee problems, and prevent them by taking action
Ability to manage expenses, monitor budgetary expenses, and perform financial analysis
Ability to exercise and exhibit sound judgment and discretion in relations with volunteers, staff, and outside organizations/individuals
Ability to review and analyze facts and issues and make recommendations both verbally and in writing
Ability to multi-task, adhere to strict deadlines, and manage multiple conflicting priorities without loss of composure
Ability to work effectively independently and within a team structure to accomplish goals
Strong attention to detail
Ability to understand volunteer and staff needs and interact professionally at all times
Ability maintain strict confidentiality
Ability to demonstrate advanced proficiency using computers and office equipment
Ability to travel (less than 10% of time)
