Essential Duties and Responsibilities:
oPrepares the daily schedule for the Chancellor with supporting documentation related to meetings, travel and events; oPrepares detailed itineraries for the Chancellor, including important numbers, locations and contact names; oWorks with the Chancellor, Chief of Staff and Associate Vice Chancellor for Marketing and Communication to project quarterly schedules for the Chancellor based upon constituency strategies and goals; oServes as the official representative of the office to coordinate the attendance and participation of the Chancellor (including program protocol, staging and event management) with the Office of University Events or the requesting area; oReceives online requests and works with the Chancellor, COS and EA to process these requests for Chancellor's participation in events; oMaintains the Chancellor's remarks calendar and coordinates remark drafts with University Communications; oCoordinates photo opportunities with constituents; oWorks closely with the Chancellor's Executive Assistant to ensure the calendar is up-to-date and contains all pertinent information; oResponds to all invitations, either by written correspondence or by personal telephone call; oMaintains files of invitations that have been declined, accepted, or that are tentative/pending; oEnsures that the Chancellor is provided with briefing materials for each meeting and event; oMaintains the Chancellor's events, participation in other internal and external events and information relating to travel; oActs as a liaison for constituents and other individuals when they visit the Chancellor; oActs as a liaison with the Director of External Affairs and Community Relations to schedule events and meetings with members of the General Assembly; oManages the Ambassador program for the office including the following:
Trains and orients new Ambassadors;
Works with Director of University Events to schedule Ambassadors to work events;
Ensures Ambassadors are provided with work related educational opportunities;
Maintains files on all past and present Ambassadors; oAccepts performance-based criticism and direction; oMeets attendance requirements as established by the office; oWorks well under pressure and handles stress; oWorks a flexible schedule including nights, and weekends; and oPerforms other duties as assigned.

Type of Position: Full Time Position
Work Schedule/Hours: Generally daytime hours Monday-Friday but requires the ability to be flexible to accommodate the Chancellor's needs and schedule, as well as special events.
