Carnegie Mellon University (CMU) launched Metro21 in July 2014. It is devoted to enriching the university's research and development capabilities to address the challenges facing metropolitan areas. It owes its origins to CMU's highly successful Traffic21 Initiative, now an Institute at CMU. The Metro21 Institute's vision is to significantly and measurably improve the metropolitan quality of life.
As part of the John Heinz III College, Metro 21 Institute is seeking a detail-oriented, motivated and talented Senior Administrative Coordinator. In this role, you will ensure that the day-to-day administrative operations run smoothly and efficiently, while supporting the passion around the institute's mission and objectives.
Responsible for managing and coordinating the day-to-day workflow by serving as the primary point of contact.
Compose and prepare correspondence, presentation materials, meeting materials, project/budget report summaries, and social media.
Manage several active calendars of appointments; demonstrate significant independent judgment in identifying and prioritizing scheduling requests and resolving potential scheduling conflicts.
Arrange complex and detailed travel plans, itineraries, expense reports, and agendas.
Complete a broad variety of financial tasks including expense reimbursements, purchase of department office supplies and verification of procurement card purchases.
Maintain accurate records and knowledge of budget expenditures; highlight status, opportunities and concerns.
Assist with planning and implementation of meetings and events; welcome and coordinate all executive level meeting participants and visitors to the Center, including high-touch and complex situations that may arise.

Aptitude to work effectively in a cross-disciplinary environment in the academic, non-profit, philanthropic, business and government realms. A grasp of challenges in both the research university environment and government circles is critical to success.
Inclusion, collaboration and sensitivity to all cultures and perspectives are key competencies at CMU. Therefore, you will also need to demonstrate strong interpersonal skills and the ability to astutely interact with a diverse population with a high level of professionalism and polish.
A work week may include frequent travel on campus to various buildings and offices; occasional evening and weekend work may be necessary.
Associates degree in business or related discipline required; Bachelor's degree preferred.
Minimum of five years administrative or business support experience required; a combination of education and equivalent experience will be considered. Prior experience providing support at the executive level is highly desired.
Demonstrated advanced computer skills, specifically Microsoft Office Suite and database technology.
