Aueronautics & Astronautics has an outstanding opportunity for a Fiscal Specialist 2.
Under the general direction of the Administrator, the Fiscal Specialist 2 will perform a wide variety of complex fiscal, payroll and administrative support functions and will establish and maintain comprehensive fiscal record keeping systems and analyze trends. This position will provide fiscal support to the Department of Aeronautics and Astronautics in the College of Engineering, responding to the needs and requests of the Department Administrator. The individual will be instrumental in the assessment of processes to support and enhance operational efficiencies and effectiveness while maintaining fiscal compliance. This individual must be enthusiastic about helping to lead the success of the department's fiscal duties.
Duties and Responsibilities:
Provide expertise in academic, staff, and student hiring, timekeeping, managing, and collecting documentation.
Advise faculty and staff in all pre- and post-hire payroll activities.
Complete costing allocations transactions and on-boarding tasks such as I-9 employment eligibility verification using on-line tools.
Complete all Time and Absence Initiate actions in Workday.
Monitor entered Time and reach out to faculty, staff and students as appropriate to obtain approval for those hours.
Using reports, ensure all pay period appointments, compensation and cost allocations are correct.
Serve as the primary contact for all travel related activities and as secondary contact for E-reimbursements.
Advise travelers on applicable policies and procedures.
Process all appropriate paperwork and requests for reimbursement thru Ariba e-Travel system; monitor the approval process.
Recommend changes and draft policy guidelines for reimbursement process.
Manage the departmental central travel account (CTA) card, approval of travelers and monthly review of CTA.
Develop department procedures for using Cristopherson Business Travel.
Fiscal Support 40%
Assist in the reconciliation of budgets and update of comments for requested budgets on a monthly basis, maintain supporting documentation, enter project cost accounting codes and file paperwork with assistance from student assistant(s).
Maintain electronic files and records consistent with UW and Departmental policies and procedures.
Perform journal transfers and other necessary fiscal transactions for corrections.
Monitor for compliance on budgets.
Recommend process flow improvements for fiscal procedures, including updates to Project and Task code usage.
Prepare reports for departmental review.
Monitor expenditures, exchanges, adjustments and corrections across all budget/categories.
Accepts and prepares deposits.
Review and tracking of invoicing for auxiliary enterprises.
Other duties as assigned.
Two years of experience at a level equivalent to Fiscal Specialist I AND 15 quarter hours or 10 semester hours of college level accounting, or equivalent education/experience.
Additional Requirements: -Demonstrated experience in customer-service-oriented environment. -Demonstrated ability to work with a team to address multiple priorities and high transaction volume. -Demonstrated excellent written, verbal and interpersonal communication skills to communicate complex compliance and technical requirements to faculty, staff and students. -Demonstrated desire and ability to learn new processes and technologies. -Excellent organizational skills. -Proven attention to detail and accuracy. -Ability to manage multiple and rapidly changing priorities. -Strong skills in Microsoft Office applications.
-Familiarity with UW Procurement policies and procedures, including all Ariba modules; Blanket Purchase Orders, Non-PO invoicing, requisitions, expense reports, electronic reimbursements, along with UW Procurement credit cards (Procards). -Experience with University travel and reimbursement policies. -Familiarity with UW payroll policies and organizational structures, including supervisory/academic/costing allocations WorkDay and legacy systems. -Familiarity with UW invoice receivables process.
