We have an exciting opportunity to join our team as an Assistant Director - Development Administration.
The Division of Development Administration is seeking an Assistant Director of Administration to join our team. The Assistant Director will work closely with the Senior Division Director and the Director of Development Administration and will play a key role in refining and evolving the business operations required to support a highly successful academic medical development team. The ideal candidate will be committed to NYU Langone Healths' mission; will have excellent written and verbal communication skills and a desire for regular face-to-face interaction; and will have an appreciation for taking on tasks for the benefit of the team at large. They will be energetic, flexible and resilient in the face of challenges that come with sustaining and transforming the infrastructure that supports an ambitious and robust development program.
Works highly collaboratively with the Senior Division Director and Director on a wide range of initiatives related to all functions that fall under the Development Administration umbrella: human resources, financial management, administration and operations.
In partnership with the Senior Division Director and the Director, responsible for executing the departments staffing strategy, working closely with senior leadership and managers throughout the department.
Drive recruitment efforts and serves as the point of contact with HR/Talent Acquisition to ensure a broad and diverse candidate pool and an efficient and timely hiring process.
Review resumes and screen candidates on behalf of the department.
Prepare internal staff for competency interviewing and collect/summarize feedback on candidates.
Track recruitment activity and provide regular updates to the Senior Division Director and Director. Design/present reports for senior leadership on staffing/hiring metrics.
Liaise with in-house temp group and external temping agency on sourcing temp candidates.
Work closely with Administrative Coordinator on onboarding new hires and continually strives to improve process to ensure positive experience.
Collaborate with the Senior Division Director and Director on creation, planning and execution of a robust professional development/training program that targets specific populations within the development team (e.g. gift officers, administrative staff) and is inclusive of staff at all levels.
Assist Director with processing HR transactions associated with recruitment, promotions, reporting changes, resignations, leaves of absences, etc.
Assist with refining job descriptions for all roles, aligning them with institutional behavioral competencies and ensuring consistency at each level.
Assist Senior Division Director and Director in the annual departmental budget planning process. Help to plan budget meetings and attend on an as-needed basis.
Assist Director with tracking and reconciling department spend on a monthly basis and prepare quarterly reports/updates for SVP and senior development leadership.
Assist with institutional development finance initiatives related to gifts raised for the SOM departments, in collaboration with the Director of Development Finance and the Associate General Counsel for Development.
Monitor and track engagements with third-party vendors
Work closely with Senior Division Director and Senior Gift Processing Manager on gift processing, acknowledgement and notification initiatives/projects.
Assist with organization and maintenance of shared Development Administration folder.
Identify areas for process improvement and lead related initiatives on an as-needed basis.
Assist with planning and execution of DLG and Change Committee initiatives.
Performs other tasks, as assigned.
Must have a Bachelor's degree.
5+ years of related experience working with a successful development team(s), ideally in an academic medical center.
