We have an exciting opportunity to join our team as a FGP Office Supervisor.
In this role, the successful candidate will be responsible for providing administrative and clinical oversight of Orthopaedic Surgery practice operations. Manage both clerical and clinical support staff to ensure provider productivity, revenue maximization and quality customer service standards. Oversees staff, including recruitment, training, and management. In addition, in conjunction with leadership develop policies and procedures; implement new processes (help to establish annual goals, revenue targets and training/education programs; develop and implement reporting mechanisms) and monitors compliance to established guidelines.
Demonstrates knowledge of the organizations Service Standards and incorporates them into the performance of duties.
Responsible for the daily management and operations of the support staff. Meets routinely with staff to review current tasks and assignments. Assists in establishing priorities, and allocating resources as needed to support operations. Evaluate employee performance and oversight of staff competencies. Resolves employee issues and addresses procedure and performance related issues. Authorizes attendance, schedules, and sick time changes. Manages the weekly staff schedule and ensures adequate coverage for all physicians. Coordinate and oversee staffing patterns to ensure efficient operations. Recognizes routine problems and recommends suggestions, ideas and solutions.
Establishes office procedures and communicates responsibilities and expected performance to staff. Trains staff according to specific job responsibilities and expectations. Ensures appropriate cross-training and cross-coverage for all practice administrative activities. Plans, coordinates and schedules the interrelated activities of the practice office. Resolves all complaints and problems using independent judgment and decision making skills, to ensure patient satisfaction and adherence to faculty practice standards.
Performs other general administrative duties as needed to support practice operations. Determines and establishes the explanation to complex calls, issues and questions not covered by specific instructions or common practice. Receives, compiles, classifies, reconciles and consolidates data from varied sources including EPIC and work queues. Maintains accurate, well-organized, up to date files for retrieval of needed documentation. Compiles daily statistical data as requested and reports data monthly to appropriate parties. Organizes, prioritizes and expedites own work flow and uses independent judgment.
Work with the Administration and Operations, staff and vendor to address physician concerns, operational and IT issues. Help track these issues as new physicians are brought on to the application. Help to identify and quantify operational deficiencies that may be adversely impacting physician billing i.e. IT systems issues, process issues in other areas of the intake (registration, clinical/operational staff on the floor), etc. Specifically, analyze and establish practice standards in line with department goals including standardized workflows, staffing analysis and other operational metrics. Assist in finding solutions to practice issues.
Supervise patient flow and activate, encouraging 'one stop shopping' philosophy to maximize service to patients during single visits. Act as an Orthopaedic department liaison to patients who require Radiology services. Oversee and coordinate seamless patient flow between Radiology service and practice provider encounter. Perform and direct patient intake procedures to maximize patient flow and efficiency. Promote opportunities for feedback from staff to improve service delivery.
Maintain and cultivate relationships with other departments or NYU resources that impact practice operations and customer service standards.
Oversee adequate stocking of supplies to medical services; develop and monitor appropriate stocking levels. Assure regular maintenance and monitoring of medical equipment and instruments, as appropriate.
Manage and monitor all practice supplies and expenses within budget. Execute the acquisition of all medical and office supplies and small equipment items.
Performs and participates in other job related duties as required.
To qualify you must have a High School education minimum but Bachelors preferred; related field with minimum of 1-3 years of relevant work experience or equivalent combination or training and relevant work experience. Ability to work in a fast paced multi-physician practice environment. Good communication, interpersonal and computer skills. Ability to develop and maintain effective working relationships with physicians, staff and patients.
Clinical training or education is preferred and at minimum a Medical Assistant Certification from an accredited institution. EPIC knowledgeable.
Qualified candidates must be able to effectively communicate with all levels of the organization.
