JOB SUMMARY/ESSENTIAL JOBFUNCTIONS:
Reporting to the Director ofResearch Finance & Administration, the Administrative Specialist IIprovides administrative support for the Office of VC Research and the Associateand Assistant Vice Chancellors for Research Global Partnerships, the Office ofResearch Integrity, the Office of Research Entrepreneurship and BusinessDevelopment, and the Clinical Trials Governance Board. This positioncomposes correspondence, coordinates agendas, manages itineraries, takesmeeting minutes, enters travel requests and expenditures, enters timesheets,and processes routine invoices, petty cash, and contracts in the UTHSCfinancial system.
Arranges UTHSC Office of Research national and international events and travel for Associate and Assistant Vice Chancellors, national, and international official guests of UT. Creates guest traveler set-up, travel authorizations and expense reports.
Coordinates and processes visas, contracts, and other required foreign, state, and federal travel documents in a timely manner.
Composes correspondence regarding matters related to scheduling, travel, required documentation, and meeting arrangements.
Coordinates and schedules meetings, prepares itineraries, coordinates calendars, and communicates detailed meeting arrangements effectively to faculty, staff, others on, within UT campuses, and other entities internationally.
Prepares technology and documentation for Office of Research meetings. Takes meeting minutes.
Makes decisions regarding appropriate venues and catering orders for meetings, events, and coordinates delivery and set up.
Manages and updates reports required for metrics for Global Partnerships, Research Integrity Office, Research Entrepreneurship and Business Development, Clinical Trials Governance Board, and VC Research.
Provides business and administrative support to other Office of Research departments as needed including, but are not limited to the Compliance and Administrative offices within the Office of Research.
Processes petty cash/entertainment reimbursements in IRIS. Processes timesheets, routine invoices, contracts in IRIS as needed.
Orders supply and maintenance for the Office of VC for Research. Opens and distributes mail. Answers multiple phone lines. Maintains confidential office files and documents accurately.
Serves as the first contact for university and non-university personnel for the Office of the Vice Chancellor for Research.
Serves as backup to the Administrative Coordinator for the Vice Chancellor for Research, assists with Office of Research special projects, and performs other duties as assigned.
