This position gives primary executive level support to the Director and senior management team of the American Bar Foundation, and is expected to ensure the efficient and effective function of the executive office of the American Bar Foundation.
Duties and Responsibilities:
Manage the Director’s calendar, travel, and correspondence
Support all activities related the ABF Board of Directors
Travel arrangements and expense reimbursement
Draft and edit reports for board meetings
Compile and distribute agenda books
Assist in meeting planning and coordination
Executive team correspondence with board members
Administrative support for board committees
Serve as administrative coordinator for several faculty committees
Schedule faculty meetings in consultation with the Director
Be responsive to the needs and requests of the Research Faculty
Collaborate with administrative staff colleagues in order to perform duties required by the executive office
Word processing and preparation of presentation materials
Document and file management of executive office
Processing of expense reports
Assist at off-site meetings as required
Assist with front office telephone and reception relief
Provide coverage for Manager of Administrative Services, as needed
Duties as assigned by Director and senior management
Proficiency in MS Office Suite (PowerPoint, Word, Excel, Outlook for email and scheduling)
Proficiency in Adobe Pro Suite
Excellent oral and written communication skills
Initiative and the ability to think critically
Ability to manage competing priorities
Ability to interact with executive level legal and academic professionals
Must be reliable and punctual and understand standard operating office procedures
Strong contributor in a team environment
This position reports to the Director; but can expect to take primary business direction from the Director of Development, Communications, and Operations, Director of Finance, and Manager of Administrative Services. This position is highly responsible and depends on maintaining confidentiality and discretion in all areas of Foundation business. Salary commensurate with experience.
