The Executive Assistant will provide confidential executive administrative support the Vice President for Vocation, Innovation, and Alumni in the development and execution of a broad range of strategic initiatives of departmental importance and, in doing so, represent the department appropriately in selected internal and external interactions.
Bachelors Degree, Masters degree preferred.
Five years of administrative assistant experience at the vice president level or higher. Experience managing projects for business platforms, preferably in institutions of higher learning.
Understanding of organizational dynamics, experience with complex cross-functional organizations, strategic planning, and budgeting.
Primary Duties/Essential Functions
Oversee the development of a broad range of institutionally important projects, as assigned by the Vice President (VP) for Vocation, Innovation, and Alumni (VIA).
Serve as a liaison for the Vice President, Cetner for Careering and Calling, Office of Innovation, and Office of Alumni relations in a variety of internal and external meetings and settings to ensure the cultivation of relationships and responsive follow-up as well as accountability on matters requiring the VP's attention.
Interact with external business, government, community, and other stakeholders in the representation and development of strategic priorities and goals assigned by the VP.
Oversee ongoing projects to ensure the VP for VIA's agendas are effectively moving forward according to planned objectives, milestones, and measurements.
Work closely with the Executive Director of Career and Alumni Relations and Director of Innovation and Entrepreneurship, and different APU employees on assigned initiatives.
Successfully manage the relationship with both internal and external clients and stakeholders for VIA.
Work on continually improving communication and execution within the project team and across VIA teams.
Coordinate regular VIA leadership and team meetings.
Perform complex administrative office duties including composing correspondence independently on a wide variety of matters, including material of a sensitive and confidential nature.
Manage Student Interns to promote projects for VIA.
Perform general office duties such as: maintaining VP's daily calendar, typing, filing, distributing mail, answering phones, creating duplicating requests, managing print orders, ordering office supplies, managing equipment, processing expense reports, and managing the facility.
Prepares reports including conclusions and recommendations for solution of operational and administrative problems.
Provides coordination for numerous events, receptions, and appointments on behalf of the office.
Assists VP with relation to board responsibilities, meetings, and conferences.
Responsible for the calendar for the Vice President for Vocation, Innovation, and Alumni by maintaining and scheduling a heavy daily calendar and travel arrangements.
Assist VP in monitoring VIA budget, tracking monthly expenditures, and reconciliation of Wells Fargo credit cards. Creates updates for Vice President for VIA on monthly budget.
Responsible for daily electronic timekeeping as it applies to the scope of this position.
Regular, punctual attendance as required by the supervisor based on office needs.
Assist in other activities and duties as assigned by the Vice President for VIA.

Proficient in Google Apps., Microsoft Office, Word and Excel.
Proficient in other task management systems (e.g. Asana, Slack).
Proficient in other platforms that support VIA services, including but not limited to, LinkedIn, iModules, PeopleSoft.
