Coordinates the processing of materials related to student inquiries and/or applications.
Reporting to a manager in Undergraduate Admissions, he / she interprets state and institutional policies to appropriately document and facilitate student record entry and regularly monitors processes to ensure accuracy and compliance.
Supports Undergraduate Admissions efforts in fielding inquiries from prospective students.
Coordinates and oversees the process of data entry for a student record, including the data entry of inquiries in the CRM, scanning and indexing application materials in the document imaging system, and data entry in PeopleSoft and all related University and external student record databases.
determining the priority of data entry based on established guidelines, checking for completeness of application, appropriateness of required documentation based on government and institutional policies (ex: high school transcripts, ACT/SAT scores, college transcripts) and high school course requirements.
Makes decisions by reviewing information against guidelines such as government regulations and institutional policies.
Maintains awareness and interprets policies, procedures and guidelines in the assessment of external academic records.
May review student applications, make admission decisions within a range of established guidelines and criteria, and/or make decisions about whether various forms of credit from external sources will be accepted for credit at Ohio University based on state and local policies and practices.
May serve as a Designated School Official (DSO) for Undergraduate Admissions.
Coordinates the processing, maintenance and monitoring of inquiry, application, academic, and immigration record data.
Position assignments may include the data entry of external course, test and other credit and the interpretation of non-traditional external grading schemes and courses into OHIO equivalents.
Performs maintenance on prospective, applicant, and current student records, including duplicate resolution, analysis and correction of data integrity issues, external education records and credit models in PeopleSoft to ensure proper application of credit to degree requirements.
Provides customer service to students, staff, faculty, parents and others in the University community. Examples include answering telephone calls using the Automatic Call Distribution system for all areas of admissions, maintenance of departmental e-mail inboxes, and supporting and participating in on-campus programming recruitment and yield events as necessary, and perform other job-related assignments as assigned.
Provides customer service to students, staff, faculty, parents, and others in the University community by solving problems regarding records and/or data.
May lead and/or supervise TAS staff and/or student employees.
Coordinates, and maintains a complex record system or database of specialized records.
Researches complex record or data problems and provides recommendations or resolution. Makes decisions by reviewing information against guidelines such as transfer credit evaluation.
Coordinates the processing, maintaining, and monitoring of records and/or data. Audits record activity to ensure compliance and accuracy.
Serves as primary contact for release and protection of confidential and sensitive records.
Implements and oversees guidelines for deletion of records.
Prepares, analyzes, and distributes reports.
Maintains awareness of governmental regulations and interprets policies, procedures and guidelines.
Knowledge of standard practices, policies, procedures, and tools of records management typically obtained by a high school degree or GED or equivalent and a minimum of 3 years related records management experience.
An equivalent combination of education, training, and experience is acceptable.
Specific knowledge, certifications, and licensure will apply at the position level.
3-5 years of work related experience.
Vocational or technical training and/or Associate’s degree preferred.
Experience working with confidential or sensitive information highly preferred.
