Full Time 40 hours Grade 007 Payroll Schedule 8:30 AM-5 PM Responsibilities General Purpose: The Payroll Processing Specialist is responsible for the processing of payroll data including the audit, oversight, and quality control for the monthly, semi-monthly, and bi-weekly hourly payrolls and ensures that employees are paid accurately and on time. The Payroll Processing Specialist performs payroll accounting and administrative duties to support the Payroll Department including processing payroll, setting up deductions, auditing payroll reports, processing tax forms and resolving pay issues. This position coordinates processes that require a working knowledge of payroll practices, human resources information systems, accounting functions, and government regulations. The Payroll Processing Specialist must exercise independent judgment as well as discretion in the handling of confidential situations. This position requires the ability to compare and evaluate situations that require an immediate decision. Responsibilities: The Payroll Processing Specialist ensures accurate and timely processing of payroll checks for University employees in compliance with University policies and with federal and state regulations. Serves as the primary point of contact for external departments for issues related to payroll processing. Processes accurate and timely bi-weekly hourly, semi-monthly, and monthly payrolls; verifies totals and submit payroll data; processes bonuses and calculates payments for employees on leaves of absences; reviews payroll reports and addresses any discrepancies; verifies that changes and corrections for the pay period have been processed correctly; processes and calculates off-cycle/final paychecks; responds to questions from employees regarding paychecks, direct deposit and/or general payroll questions; and escalates payroll matters to Payroll Supervisor when necessary. Reviews and enters additional compensation requests and verifies all authorized signatures. Researches and resolves paycheck problems including underpayments, overpayments, and coordinates with departments and employees to resolve overpayment/repayment issues. Facilitates the issuing of special checks and communicates payroll calculations relating to tax withholding and effects of pre-tax deductions. Provides customer service to all faculty and staff on payroll related transactions. The Payroll Processing Specialist will assist the Payroll Supervisor and/or Payroll Manager with the analysis of various payroll data ensuring that data is transmitted properly between various applications within PeopleSoft and other systems including HRMS and Time & Labor. Collaborate with functional and technical resources to resolve issues. Prepares reports, modifies queries, and analyzes data to assist with the investigation of payroll information and processing. Assists in the development and modification of operating processes, guidelines, and practices, as appropriate. Assists in troubleshooting and resolving processing problems, as appropriate. Analyzes and processes data supplied, such as employee deductions, direct deposits, extra compensation, vacation payouts and severance pay. Audits earning codes, taxes and deduction amounts entered onto pay lines to ensure accuracy. Encourages team unity through sharing information on expertise, working together to solve problems, and putting team success first. Provides assistance/training to departmental staff regarding systems, processes, policies and procedures. Maintains a friendly, helpful, supportive and team-like atmosphere among coworkers. The Payroll Processing Specialist will understand the power of teamwork and demonstrate strong interpersonal skills in collaborating with coworkers to provide service. The Payroll Processing Specialist will work as a team member internally and with external departments to resolve issues when problems arise. As needed, the Payroll Processing Specialist will service as backup for front desk coverage. Qualifications: Associates degree and 2 years on-the-job experience with personal computer applications; or an equivalent combination of education and experience. PeopleSoft HRMS experience preferred. Position has specialized payroll-related duties requiring skill in evaluating and analyzing technical payroll activities. The ability to utilize effective communication skills, both verbally and in writing are critical due to the service nature of the Payroll department. Additionally, attentiveness to detail and the ability to handle detail work in an accurate and timely fashion is an important requirement for the position. Strong analytical skills providing the foundation to probe, gather, and analyze data to ensure accurate payroll and expectations are met.
