This key staff member in Government & Community Relations provides critical project and administrative support to the vice chancellor, two associate vice chancellors, an assistant vice chancellor, and two senior directors. In addition, the staff member serves as a key member of the community relations/local government affairs team that is engaged with external university partners in St. Louis.
PRIMARY DUTIES AND RESPONSIBILITIES:
Provide Project Planning/Management for the six senior staff members in the office on a large number of concurrent projects. Example responsibilities include:
University-wide data collection for, and preparation of, quarterly/annual lobbying reports
Oversight of WU management of Supporters of Ag Research
Preparation of project materials for meetings including presentations
Preparation of annual reports for State agencies
Manage office web site
Provide Event Planning and Management to include:
Planning and implementation of events for the WU Neighbors’ Council
Planning and implementation of events for monthly KIPP board meetings
Planning and implementation of regular community-based meetings and events
Engage with external stakeholders and assist w/community outreach
Preparation of meeting materials
First line of response to questions/concerns of external community/neighbors
Perform Business Management responsibilities such as:
Uses knowledge of AIS, FIS, and other WU administrative systems to do the following:
*Plan, track and oversee office budgets (includes 4 separate accounts)
*Work with Shared Services
*Manage the calendars and schedules of 6 professionals (noted above)
*Prepare and manage all travel arrangements for 6 professionals
Provide all Office Support to include:
High-level administrative support to the Vice Chancellor
Send out electronic communications and manage responses
Arranging all meetings
Handle incoming/outgoing mail
Organize and maintain electronic and physical files
Backup administrative support for the College Readiness Programs
Perform other duties as assigned
Position will require some evening and weekend work. Some travel necessary between WU campuses and in the community.
Equivalent of bachelor’s degree and 3 years of experience working for an executive(s) and experience with project management and event coordination
Superior people skills (in person and on the phone) including dealing w/exacting colleagues and demanding external constituents
Excellent oral and written communication skills
High level of personal integrity
Very strong organizational skills and ability to set priorities and multi-task
Sound judgement and common sense
Ability to appropriately handle sensitive/confidential information
Ability to gain knowledge of WU administrative systems
Proficient with Microsoft Outlook, Excel, Power Point, Word, Share Point
Ability to work some evening and weekend work.
Ability to occasionally travel between WU campuses and in the community.
Bachelor’s degree and 8+ years of experience working for an executive(s).
Experience with local government agencies and elected officials.
Experience in project management and event planning.
Experience in WU budgeting and accounting.
The hiring range for this position is $42,393 - $54,054 annually.
