Assists Director as the primary internal administrative liaison to the Firm's Diversity and Inclusion Committee, Subcommittees, Task Forces and the Staff Diversity Ambassadors. Aids Director with the direction of the Firm’s strategic diversity and inclusion initiatives and developing new diversity and inclusion best practices for SHB. Serves as a Staff Diversity Ambassador and on the Diversity and Inclusion Committee’s Staff Diversity and Inclusion Initiatives Subcommittee helping to integrate staff in the Firm’s overall diversity and inclusion initiatives and programming. Attend meetings of the Diversity and Inclusion Committee and the Diversity and Inclusion Executive Committee and assist in preparing and distributing meeting summaries and engaging in other follow-up tasks. Serves as a support partner to internal and external resources, assisting in the development of programs, initiatives and events focused on promoting diversity and inclusion education, awareness and engagement. Team efforts include but are not limited to diversity and inclusion literature and websites; researching, planning and execution of internal and external training/educational seminars, presentations and networking events; and supporting diversity and inclusion efforts in the Firm’s hiring practices, talent engagement/advancement and leadership development. Examples of events and programs include the Caring for Others Expo, the Diversity Annual Strategic Planning meeting, the firm’s Diversity Retreat and national diversity and inclusion events. May also represent the firm at internal or external events, both within and outside the local area. Interacts with attorneys, staff, law school administrators/staff, external consultants and/or outside vendors and organizations on the information gathering and facilitation of external diversity and inclusion related activities and projects. Work with the Legal Recruiting Department, Recruiting Subcommittee and the Search Committee to promote Diversity and Inclusion collaboration toward the Firm’s commitment of recruiting diverse talent; providing strategic advice on hiring to Director of Strategic Diversity Initiatives and Search Committee when necessary; work with the Firm’s recruitment professionals to design innovative strategies to attract and retain lawyers of diverse backgrounds. Publish electronic diversity and inclusion newsletter to promote information within the firm regarding diversity and inclusion initiatives and programs; assist with the Firm’s internal diversity and inclusion communications, including internal distribution of the annual diversity and inclusion report, and ensure maximum use of intranet capability; design and implement other communication vehicles when deemed desirable. Assists in identification, planning and execution of Diversity & Inclusion events and other firm-sponsored events. Contributes to the production of event presentation materials. Also tasked with assessing qualitative and quantitative information from activities to determine effectiveness of efforts and need for changes in future events. Analyzes and summarizes program evaluations, budget recaps; reviews results with planning committee and makes recommendations for any needed improvements to future events. Coordinates with other Firm departments, including but not limited to, Recruiting, Marketing, Human Resources, and Information Technology on diversity and inclusion-related initiatives including sponsorship of job fairs, program advertising, summer associate diversity events, student internships, and new attorney orientations. Communicates information to Firm attendees at Director’s or Chair’s direction to ensure Firm representation at external events. Prepares and distributes event information and materials to all attendees prior to event to prepare attendees accordingly. Solicits and maintains event feedback from attendees to present to Director, as needed, and tracks use of event quotes/feedback. Provides on-going tracking and reporting of expenditures against the department’s approved annual budget. Prepares timely budget summaries for Director’s on-going review. Drafts six-month and year-end reports of diversity and inclusion accomplishments for Director’s final review. Work collaboratively with city offices to develop appropriate initiatives and to recruit participants for diversity and inclusion events. Solicit event photos and reports for publications and committee meeting event reports. Track and report on city office involvement in diversity and inclusion initiatives and programs. Research/present award opportunities the Firm may qualify for based on region (e.g. MCCA’s Sager Award). Collect competitor demographic data on a bi-annual basis and stays abreast of policies and best practices from competitor firms. Assists the Director of Strategic Diversity Initiatives in ensuring the Firm maintains a competitive position with diversity and inclusion metrics and targets, as well as current policies and practices. Oversee Diversity and Inclusion pipeline program participation (e.g. on campus Resume and Interviewing Workshops). Manage attorney orientation packets; develop and manage welcome letters to all entering attorneys (entry-level and lateral) highlighting the Firm’s valuing of diversity and inclusion, and outlining the Firm’s goals and initiatives. Research diverse suppliers by office and work with firm supplier department to promote supplier diversity program. Assist in maintaining the diversity database with statistics on all attorneys and staff including race / ethnicity, gender, sexual orientation, disability and veteran status. May travel to represent the Firm at internal and external events or to clients as part of the firm’s diversity and inclusion programs or commitment. Keeps Director abreast of current issues and potential problems as they develop; seeks advice as needed. Provides direction and guidance to Diversity Department’s administrative assistant on various tasks and projects. Assists with management of the Firm’s flexibility programs, including the Alternate Work Schedule (AWS) program, Parental Leave policy and Phase Back program.
Bachelor's degree (with an emphasis in Human Resources, Journalism, English, Communications, Marketing or Public Relations) and at least two years of related experience and/or project management experience at a law firm, government agency, or professional services organization that includes database management, spreadsheet creation and maintenance, proposal writing and event planning experience preferred OR equivalent combination of education and/or experience. Strong analytical, computer, written and verbal skills; excellent organizational skills; a detail-oriented and proactive approach to projects; the ability to work well with minimal supervision, a strong client-service orientation and interest and commitment to diversity and inclusion issues are mandatory. Diversity and inclusion experience preferred. May be required to work occasionally before and after general work schedule.
