Essential Functions: JOB PURPOSECoordinate Office of Student Financial Aid (OFSA) communications and forms utilizing a variety of systems for tracking; creating and sending office communications; creating paper and electronic financial aid forms; updating office internal and external publications and web pages; and evaluating communication effectiveness. Collaborates with the technical team to maintain accuracy in the processes required in communications. Ensures that all communications and changes are documented. Serves as the subject matter expert for the processes related to communications and disclosure requirements. Evaluates and determines best practices, and identifies areas of improvement.ESSENTIAL FUNCTIONSCoordinate office communications by working collaboratively with various office units to design, plan, and organize office communications and forms. Assist in design and creation of electronic forms.Maintain an organization system for monitoring timeliness and accuracy of office communications. Assist in maintaining compliance with federal financial aid regulations in all required consumer disclosures. Utilize change control protocols for managing documentation of office publications. Assist in the development and maintenance of metrics to evaluate communications and make necessary changes based on feedback. Suggest and implement additional tools that would benefit the department. Research best practices and stay current on communication trends and topics. Utilize effective change controls and tracking for all federally required communications. Identify communication tools and document operational procedures.Maintain a working knowledge of applicable legislation and regulations governing financial aid programs needs analysis methodology, federal and state tax laws, and office policies and procedures. Identify and maintain written documentation of critical processes. Able to read, adapt and implement changes in communications to comply with new laws and program guidelines.Perform related tasks as assigned.
Qualifications: EDUCATIONBachelor's degree from an accredited college or university or an equivalent combination of education and/or experience.EXPERIENCEEntry level (no prior job-related experience). Preferred: 2 years of work experience in a financial aid office.KNOWLEDGE, SKILLS AND ABILITIESKnowledge, Skills and AbilitiesMust be well organized; comfortable with technology; able to communicate well; and have good writing skills. COMMUNICATIONS SKILLS - Ability to communicate clearly, concisely and professionally both verbally and in writing. Strong electronic communication skills. ANALYTICAL SKILLS - Ability to compare, contrast and quality check work with a keen attention to detail. Strong analytical skills including: critical thinking and problem solving skills. COMPUTER SKILLS - Proficient in the use of Banner and Microsoft Office tools including Excel. Project Management/SMARTSHEETS, Salesforce, or other CRM systems. ORGANIZATIONAL IMPROVEMENT SKILLS - Must possess skill in identifying methods to anticipate student needs, developing ways to address and implement changing regulations, and working with other staff to improve services. TIME MANAGEMENT SKILLS - Ability to balance several priorities at a time, assess workflow and make adjustments.
