Full Time 40 hours Grade 054 Info Systems SMH Schedule 8 AM-5 PM Responsibilities Position Summary: Serves as an expert to the University of Rochester Medical Center (URMC) department leadership for purposes of improving operational effectiveness. Applies expertise in evaluating systems, assessing operational workflow, identifying problems, making recommendations and ensuring successful project implementation specifically focused on optimization of the Epic-eRecord environment. This optimization initiative encompasses workflow, team based practice approaches, and a provider satisfaction assessment while making use of lean principles and methods, project management methodology, knowledge of healthcare business processes, management âœbest practicesâ and requirements as appropriate. Conducts analytical assessments, coordinates resources & timelines. The Senior Business Improvement Coach will work with the Operations Excellence team to understand the strategic priorities of these projects. Key Responsibilities: This role operates under the general direction of the Sr. Director, Operations Excellence, and the Epic-Optimization Project Director with latitude for independent judgment and action. Specific Responsibilities: Technical Leadership The Sr Improvement Coach is a lean practitioner able to provide expert coaching for lean practitioners on the implementation of Lean principles, tools and techniques, which may include: Facilitating the identification and prioritization of initiatives in the value stream(s) Facilitating and participating in efforts to define the problem, gather data, assess risk, and successfully implement countermeasures. Assist teams in developing appropriate measures and metrics for capturing improvement benefits on all activities. Provide necessary support, using lean methodology and implementation of lean thinking, to drive initiatives across the organization. Coach the application of continuous improvement/lean methods by answering questions, addressing barriers, resolving issues, acting as a sounding board, assisting in success and benefit capture, and providing facilitation with implementation of Lean tools or countermeasures. Project Management Lead through influence as the Sr Lead Coach does not have direct authority over project teams or staff. Works on behalf of the URMC eRecord Optimization Governance with regards to specification and prioritization of optimization requests. Use lean methodologies to define/review/maintain the objectives, scope, benefits, and success factors of projects and confirm leadership commitment to project. Conducts research i.e. survey organizations, peers, literature, etc. to identify and/or benchmark solutions. Gain team and leadership buy-in to fulfill project requirements. Identifies project risks, develops mitigation strategies/plans and works to implement strategies as needed. Capturing success measures, anticipated benefits, and actual benefits of project based on outcomes. Develop and maintain relationships with key team members and departments to ensure the progress of projects. Regular communication to project teams, sponsors, and stakeholders regarding progress of project. Training and Education Achieves and maintains current Epic certification in the appropriate application suite. Participate in training and education initiatives as identified to support project deliverables and overall team capacity, including development and delivery of training content specific to operations excellence. Assists in development of training materials for different stakeholder groups to ensure that content is comprehensive and effectively communicated. Participate in training meetings representing the Process Excellence principles and methodology. Qualifications: Bachelorâ™s degree is related discipline such as Computer Science, Business, Mathematics, Statistics, Science or Engineering and Master's degree in Library Science, Information Science or related field desirable; and 4-5 years of related experience, preferably 1-2 years in a supervisory capacity; or an equivalent combination of education and experience. Masterâ™s degree preferred. Preferred Qualifications: Direct clinical experience with providers and electronic medical record systems required for some positions/assignments. Experienced team leader with 2-3 years of relevant experience. Well-developed project management skills including expertise in change management and use of tools for evaluating existing work processes and recommending improvements in work flow. Trained Lean Practitioner or Lean Expert, certified black belt in six sigma process preferred but not required. Sophisticated analytical ability with proficiency of MS Excel. Ability to view âœbig pictureâ and engage stakeholders from all areas of the organization in designing new systems for collaborative care and operational improvement. Professional and effective presentation, written and oral communication skills. Self-motivated and directed, with keen attention to detail. Strong interpersonal skills with a natural ability to influence, direct and coach diverse groups. Exemplary organizational skills, adept at keeping multiple projects on-task and moving forward. Ability to sense when inactivity on a project is indicative of stagnation versus an acceptable pace.
