GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES:
Provide student advocate services in the Student Information Center, a highly active office, serving individuals from diverse backgrounds. Respond to inquiries and concerns in a problem- solving customer service mode, by assessing the nature of the inquiry or concern and determining the best method to answer an inquiry or resolve a concern. This may involve extracting or researching data in the BANNER system or Degree Works, contacting other college departments for information, or referring the matter to other departments.
DETAILED STATEMENT OF DUTIES AND RESPONSIBILITIES:
Support the daily operations of the Student Information Center, serving a diverse population, in an efficient and professional manner with minimal supervision while promoting the goals of the department and college.
Serve as a student advocate by finding solutions to student issues and problems. Serve as a student liaison with faculty, advisors, personal counselors, admissions office, bursar's offices and divisional support staff, as a means of following up to ensure student inquiries, concerns and problems have been addressed and resolved.
Provide information in person and via phone and email to students, faculty members, and other college staff, relating to enrollment services and college related matters, using the BANNER student information system and Degree Works.
Register students, schedule enrollment, registration, testing and advising appointments using SARS system, process add/drops, withdrawals, address changes, program changes and assign pin number to students in BANNER system, resolving problems as they are encountered in any one of these activities. Reset passwords using the Super User Tool.
Collaborate and work with the Enrollment Management Center on issues related to registration, admissions, and other related enrollment functions.
Instruct students in the use of computer software such as MiddleNet, Degree Works, Blackboard, College Scheduler and EAB Navigate to register for courses, obtain grades, run a degree audit and reset passwords. Assist and instruct students in the use of their MCC Portal for ordering academic transcripts.
Assist Faculty in using MiddleNet to enter midterm deficiency grades and final grades, print class lists, retrieve students' contact information and reset faculty member passwords.
Maintain knowledge of and explain to students the entrance Requirements to certain health programs (such as Radiologic Technology, Nursing and Dental Hygiene where entrance requirements are more complex than some other programs), the policies and procedures with placement testing, course prerequisites and course intensives.
Meet with parents of students and explain the rights and procedures with regard to the Family Education Rights and Privacy Act.
Advise Faculty of the procedures to determine when it is appropriate to give a student an incomplete grade and enter grade changes submitted by Faculty.
Confer with the Registrar on matters of policy and procedure for complicated situations.
Facilitate the admission of walk-in students by answering admissions questions, informing new students of the college services, input of applications, checking for accuracy and setting up necessary appointments with Testing, Admissions, and Advising as needed.
Research and obtain problem test scores and enter into BANNER system as necessary.
Research and follow-up on requests by students or faculty (e.g. non-attendance letters, grade changes, etc.).
Verify student enrollment information for outside entities in accordance with established procedures.
Maintain program materials in good order; arrange for re-supply of forms from facilities as needed; and provide routine maintenance/supplies for office equipment.
Copy and maintain records and informational materials; distribute materials around campus; provide routine service on copy machines such as installing cartridges and clearing paper jams; and order supplies as needed.
Other duties as assigned.
High School Diploma, GED or HiSET.
At least one (1) year work experience in office administration.
Ability to give written and oral instructions in a precise, understandable manner.
Ability to understand, explain and apply the laws, rules, policies and procedures governing assigned activities.
Ability to maintain accurate records, including the ability to enter data into electronic forms and/or software programs.
Ability to gather information by examining records and documents.
Ability to work accurately with names, numbers, codes and/or symbols.
Ability to assemble items of information in accordance with established procedures.
Ability to follow oral and written instructions; and to communicate effectively in oral expression.
Ability to file material in accordance with standard filing procedures.
Ability to establish and maintain harmonious working relationships with others within and outside the college community.
Ability to deal tactfully with others.
Ability to determine proper format and procedure for assembling items of information.
Ability to exercise sound judgment.
Ability to prepare general reports.
Skill in operating general office equipment such as telephone, copy machine, fax machine, shredder, calculator, typewriter, personal computer, printer, electric stapler or similar equipment.
Ability to learn and effectively use Microsoft Office software, the Banner SIS, Degree Works, Soft Docs document management and SARS.
Cultural awareness and competency demonstrated by working with and/or understanding of individuals of diverse identities such as socioeconomic level, sexual orientation, race, ethnicity and veterans including those with different levels of academic preparation, varying physical and learning abilities.
Knowledge of Microsoft Excel and Word
Experience with Banner, ESARS, MiddleNet; DegreeWorks;
SALARY: $13.80 per hour, non-unit, eligible for earned paid time off in accordance with state law.
LOCATION: Student Information Center, Lowell Campus
SHIFT: Monday through Thursday: 3:00pm to 7:00pm Schedule will not exceed
962 hours per fiscal year (July to June).
START DATE: June 2018
