The College of Physical Activity and Sport Sciences with West Virginia Univeristy is seeking applications for an Office Administrator. This position provides executive assistant support to the Dean of the College to communicate the vision, mission, and values of the College and University. This position also acts as a liaison between the Dean, CPASS Assistant Dean of academic affairs and research, two department chairs, business office, records office, faculty, students, various college committees, University administrators, alumni, local community, state and federal government officials, and national organizations. The position has frequent exposure to confidential issues and is provided freedom of action and independent judgment. Also responsible for planning, organizing and coordinating alumni relations functions under broad guidelines determined by the Dean and in accordance with standards, policies and procedures mandated by the WVU Foundation, and the WVU Alumni Association.
In order to be successful in this position, the ideal candidate will:
Provides expert administrative support to the Dean.
Manage and prioritize the daily workflow of the Dean's Office.
High level, sensitive and confidential correspondence and reporting.
Attend meetings, take minutes, prepare summary notes, and maintain historical files.
Represent Dean and college at special events and meetings.
Manage annual promotion and tenure process and provide administrative support to the review committee.
Organize and facilitate multiple special events annually.
Responsible for alumni relations, including administrative support to various committees.
In collaboration with Director of Development, facilitates fundraising and cultivation projects.
Key contact for state officials, employees, students, and general public on behalf of the Dean and college.
Maintain college accreditation timelines and follow up reports.
Review and edit all outgoing correspondence and reports, to ensure accuracy and professional structure.
Bachelor's degree or equivalent in secretarial science, business administration, office management or related field
One (1) year of experience in high level and high volume administrative support position
Thorough knowledge of office methods and procedures
Ability to edit all correspondence and reports
High level of written and verbal communication skills
Ability to type with speed and accuracy and use office equipment
Demonstrated ability to establish and maintain cooperative working relationships among all levels of employees within the organization
Demonstrated ability to apply judgment, discretion and initiative in performing complex administrative tasks
Problem analysis and problem solving skills
Strong interpersonal skills with the ability to maintain a professional demeanor while interacting with customers either in person or over the telephone
Possess self-motivation and ability to work well under pressure
