<p>*** This position is represented by a bargaining unit, AFSCME Clerical. Dues or fair share deductions will be made.***</p><p>The Office Manager primarily is the first point of contact for membership related needs, registration systems, and will provide support for programs, events, and meetings. This position supervises undergraduate student office assistants. In addition, this person will manage the data systems for NODA. This position reports directly to the Director of Education and Events at NODA.</p><p>This is a 100% time continuing position (classificaiton 1885, Exec Office and Administrative Specialist).</p><p>This position is located off campus at <a href="https://maps.google.com/?q=1200+Washington+Ave+S,+Minneapolis&entry=gmail&source=g">1200 Washington Ave S, Minneapolis</a>. <br /><br /><strong>JOB DUTIES:</strong><br />Education, events and systems coordination (45%):</p><ul><li>Maintain records for all programs, events and membership (i.e. registration, awards, external evaluation, author events, etc.)</li><li>Coordinate the logistics for NODA networks and Association committees (i.e. online meetings, state meetings, etc.)</li><li>Order all awards and maintain records for all volunteer recognition</li><li>Manage the logistics of the webinar program related to technology needs, set-up and training presenters</li><li>Assist the Executive Director in preparation for NODA Board of Director meetings, such as: coordination of reports, presentations and meeting set up</li><li>Assist the events staff with logistics related to conference planning and programs</li><li>Provide support to NODA staff in setting up forms and registration such as the internship program, registrations, and scholarships and awards, etc.</li><li>Manage historical records of the Association, including documents and volunteer leadership positions</li><li>Train volunteers in reviewing and assigning educational program submissions and awards for regional and annual conferences</li></ul><p>Member Services (40%):</p><ul><li>Daily management of technology programs including but not limited to, membership database, registration systems, webinar software, application management software</li><li>Manage, monitor and review Association Management System (AMS) and seek solutions for data accuracy</li><li>Oversee membership registration and forms and maintain membership database</li><li>Develop daily communications with members regarding their membership needs</li><li>Serve as the main contact for NODA membership related needs</li><li>Provide resources, services and support with timely communication to NODA membership</li><li>Manage and maintain accurate records for the Association</li></ul><p>Office Management (15%):</p><ul><li>Manage the organization and care of the physical association office environment (i.e. office supply inventory, work request submission, etc.)</li><li>Maintain and update the Association governing documents to reflect changes as approved by the NODA Board of Directors</li><li>Oversee all accounting functions including those necessary for auditing, budgeting, financial analysis, and reporting in accordance with generally accepted accounting principles, Board policies and procedures and other applicable guidelines, and work closely with the external accountant</li><li>Manage all daily financial transactions including QuickBooks entries, credit card processing, deposits, refunds, billing, and payments</li><li>Process membership applications, payments and billing for all transaction</li><li>Lead the supervision of Student Office Assistants and create monthly schedules and monitor daily work</li><li>Other duties as assigned</li></ul>
<p><strong>REQUIRED QUALIFICATIONS:</strong></p><ul><li>High School Diploma/GED and four years of related office experience. Training/education may be substituted for some of the years of experience.</li><li>Experience to include minimum of two years working in a non-profit and/or college/university administrative setting</li><li>Organizational skills sufficient to perform multiple tasks</li><li>Experience with Microsoft Office package and calendaring software</li><li>Demonstrated ability to make decisions, problem solve and work with volunteers</li><li>Demonstrated commitment to excellent customer service, professionalism and integrity</li><li>Able to work autonomously and is capable of making critical decisions regarding the overall organization, primarily in revenue development and financial improvements</li><li>Excellent communication skills, both written and verbal</li></ul><p><strong>PREFERRED QUALIFICATIONS:</strong></p><ul><li> Experience working with membership software (AMS System) and online registration programs</li><li>Basic knowledge of accounting data entry (Quickbooks preferred)</li><li>Ability to be self-directed and work autonomously on a daily basis</li><li>Demonstrated ability to communicate and work effectively with various constituencies, including diverse populations</li><li>Ability to take direction from multiple staff members, volunteers and leadership teams</li><li>Proven effectiveness at group/team member environment</li><li>Demonstrated organizational skills, attention to details and time management</li><li>Flexible and adaptable with varying work related tasks</li><li>Values diversity as expressed in NODA’s diversity statement</li></ul><p><strong>WORK DAYS: </strong>Monday to Friday</p><p><strong>WORK HOURS:</strong> 40 hours/week</p><p><strong>PAY RATE:</strong> $18-$20 per hour</p>
